Reporting to the Manager of Financial Operations, responsible for accurate and timely processing of various payrolls (weekly, bi-weekly) for various units. As part of a team oriented unit, this position will contribute to the unit goals as required. The Payroll Coordinator will collaborate closely with other Administrative Support staff in HUPD, Central Payroll, the unit Human Resource Consultant and with all Local Managers.
Duties may include, but are not limited to:
Payroll Processing: Management of the weekly HUPA and administrative payroll, bi-weekly Sergeant payroll and student payroll including processing all transactions (including but not limited to: hires, transfers, terminations, extensions, additional payments, off cycle checks, job & personal data changes) in PeopleSoft. Process and track transactions related to special agreements. Update the monthly attendance as necessary in Larimore, maintaining accuracy between Larimore and PeopleSoft. Works closely with Manager, Central Payroll and HR Consultant to ensure timely and accurate pay and employee data.
Reporting: Monitoring all payroll registers and payroll auditing reports to satisfy SAS 112 audit guidelines, (including but not limited to: Off cycle pay register, Personnel Action History Report, Unreported & Unapproved time report, Payable Status Report) to ensure accuracy and make adjustments when needed. Closely monitor term appointment report and collaborate with HR Consultant for next steps ensuring timely processing of extensions or terminations. Maintain payroll files for audit trails including reports and documented backup.
Shift Bids: Adjusts payroll and groups to reflect officers bi-annual shift bids.
Absence Management: Serve as the Absence and Time and Labor administrator. Monitor employee compliance with time and labor reporting, communicating with employees and managers when necessary, adjusting time and absences, manage structure for all absence and time and labor groups. Provide basic training on time and labor and absence entry and approval.
Customer Service: Serve as point person for all HUPD staff and HR Consultant for payroll, time and labor and absence questions. Troubleshoot all issues, escalating when necessary.
Communication:Communicate payroll related deadlines and information to staff
Authorized Requester: Process HR security and access requests working closely with FSS, Payroll Manager and requesting unit. Periodic reporting on security for data controls.
Annual Salary Increase Process / HUPD specific: Assists with the administration and upload of the annual salary increase process (ASIP). Processes the annual education allowance and manages the cleaning and uniform allowance procedures.
Meetings: Participate in local team meeting and attend monthly University HRMS meetings
Training Documentation: works with Sergeant to maintain records of all training documentation in Larimore for all HUPD personnel
Other: other relevant duties as needed

High School diploma required. Three to five years of related experience with complex financial systems and applications required. Strong computer skills including a strong command of PeopleSoft, MS Office Suite and FileMaker database are necessary. Ability to handle highly confidential information with appropriate discretion and sensitivity required.
B.A. or certificate in accounting/business strongly preferred. Experience with Harvard University financial systems strongly preferred, including working knowledge of the university's payroll system (PeopleSoft). Excellent interpersonal and communication skills (verbal and written), a professional attitude, and the ability to work in a deadline driven, extremely busy, customer service oriented office where accessibility is key. Demonstrated experience working in a fast paced, high volume, deadline oriented customer focused environment. Proven ability to work independently and as part of a team. Computer competency requiring spreadsheet / database software and working knowledge of database management and reporting is preferred. Prioritizes duties and meet multiple deadlines.
