GENERAL STATEMENT OF DUTIES: The Business Office Clerk IV serves as the first point of contact for visitors and must have a working knowledge of all business office functions as well as outstanding customer service skills. This position prepares, processes, reviews, files, &/or reports upon various accounting functions & reconciliations, but primarily supports the Purchasing and Accounts Payable Departments. This work requires ongoing communication & explanation of policies and procedures as well as problem resolution with various FSU departments. Additionally, the Clerk IV provides general administrative & accounting support to the Business Office. The Clerk IV is also responsible for special projects as assigned. This position requires excellent communication skills (written & oral), sound judgment, and the ability to work both independently & as a team member.

EXAMPLES OF SPECIFIC DUTIES & RESPONSIBILITIES:
-General Administrative & Accounting:
Open & distribute office mail
Assist with University audit or public records requests
Maintain inventory & reorder office supplies
Coordinate service requests with other offices
Assist with imaging various documents
Reserve space and rooms on 25Live with Campus Events for Business Office related meetings
Prepare reports & reconciliations on various accounts & processes
Assist visitors with questions
Provide excellent customer service to employees, students, alumni, etc.
Maintains various logs including invoices, contracts, employee reimbursements, travel approval, ISA, and files
Coordinate long-term record retention schedule
Manage Business Office web-site
Other related duties as assigned
Assist students with A/P processing questions
Maintain logs/files of invoices, contracts, W-9s, etc.
Process check run distribution
Research & prepare responses to vendor bankruptcy notifications
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.*
*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.
5+ years' experience in a Purchasing department and/or Accounts Payable or other Accounting functions.
Strong computer skills including Microsoft Excel, Word, Access, or Outlook.
