Position Summary: We have an exciting opportunity to join our team as a Program Assistant.
In this role, the successful candidate The Center for Early Childhood Health and Development in the Division of Health and Behavior in the Department of Population Health at the NYU School of Medicine is expanding its efforts to implement ParentCorps in schools and community-based organizations in New York City. ParentCorps is a family-centered enhancement to Pre-Kindergarten programs that aims to create safe, nurturing and predictable home and classroom environments to buffer children from poverty-related stressors. The Program Assistant will provide direct support to the core activities of ParentCorps Academy, which focuses on the implementation of ParentCorps and the training and coaching of school in the implementation of ParentCorps. The Program Assistant will work directly with the Directors of ParentCorps Academy, supporting all activities related to the Academy's day to day operations, including administrative and coordination duties. The Program Assistant will work as part of a large, multi-disciplinary and dynamic team. We are seeking dynamic, dedicated and team-oriented candidates with exemplary organizational and administrative skills, and skills in multi-tasking and problem solving. Ideal candidates will have prior experience working with large teams in research, medical or school settings. Ccandidates will have proficiency with technology (e.g., PowerPoint, Prezi). Training and orientation in all procedures will be provided.
Directly support the core activities of ParentCorps Academy and provide support to Directors in day-to-day operations, including scheduling, coordinating meetings, clerical support and administrative support (travel arrangements, responding to correspondence/email).
Independently research and compile information and data from multiple sources, and provide summaries of information compiled
Collect inquiries and information for ParentCorps Academy, and make decisions about the relative importance and priorities of the information; generate solutions for problems independently and recognize and take immediate action for high priority items
Manage the events and calendar for ParentCorps Academy, including all team meetings, team trainings, professional development series and implementation activities
Coordinate all meetings and trainings, including coordinating all the logistics for the meeting, sending reminder invites, providing technical/AV support, making arrangements for food/beverages, preparing handouts/packets
Track, update and monitor progress of project tasks, timelines and workflows, including all training and implementation activities, and prepare reports and summaries for directors
Take and distribute minutes in key meetings, and follow up with staff on key action items via written summaries
Prepare and format key documents, handouts and manuals for training, implementation and meetings
File documents and reports, and keep organized records of all correspondences related to ParentCorps implementation activities
Coordinate all needs for training and implementation, including allocating resources/staff to sites, making copies, compiling packets and distributing documents to staff in ParentCorps sites across NYC
Prepare, process and track the purchase of supplies and materials, and process reimbursements and invoice payments
Participate in team meetings
Minimum Qualifications: To qualify you must have a 1. Bachelor's degree or equivalent in business administration, health care administration or another related field, and one year relevant experience. 2. Proficiency in using Microsoft applications, such as Word, Excel, PowerPoint and Outlook. 3. Effective verbal, communication, written and interpersonal skills. 4. Ability to interface effectively with all levels of management and to work and communicate effectively with both internal and external parties. 5. Excellent time management skills with the ability to multi-task and coordinate multiple projects6. Comfort with new technologies and software7. Professionalism.
