An Administrative Support Assistant III (Pay Grade 34) position is available in the Department of Chemistry at the University of Tennessee, Knoxville. The administrative support assistant III is the initial face of the department to provide phone and front counter customer service including troubleshooting inquiries that come into the main office to facilitate what steps or direction, if any, needs to be taken in order to meet their needs. This position performs a variety of well-defined, repetitive duties that fall under the standard policies and procedures of the department, as well as, a significant portion of non-routine duties that require specialized knowledge and ability. This position provides support to the department (Main Office, General Chemistry Office, Department Head, and Associate Department Head). Typical duties include: front counter customer service, gathering information, entering and verifying data, filing, sorting mail, and scheduling conference rooms.
Duties and Responsibilities:
Open office: turn on lights, unlock files, turn on phone, e-mail phone messages
Managing multi-line phone
Customer Service at the front counter: assist with department forms (keys, scan access, NetID, termination/release of final check, etc.)
Maintain personnel files
Scheduling of 3 conference rooms
Managing mail (incoming and outgoing), mail-room, delivery to other departments
Generate, proofread and edit departmental documents
Maintain and update the departmental database
Assist with set-up and take-down for annual departmental events and any of our departmental guest events
Support other main office staff (manage filing, labeling files, maintain and order supplies, copies, scans)
Possibly process Payroll
Process Travel Requests
Process approximately 1/3 of the travel (all would be domestic)
Close office: turn off lights, lock files, turn off phone
Additional tasks requested by Supervisor or Department Head
Minimum Requirements: High School diploma and business office training OR high school diploma, some college and 3-4 years office experience. Familiarity with UT IRIS and UT Travel preferred. Must have valid driver license and willing to drive department truck for deliveries.
