Assists with the organization and implementation of the annual Sponsored Projects Symposium for 450 University grant administrators.
55% - Grants Support
Creates payments for grant subrecipients and requests tax forms for new suppliers
Supports GMUN Advisory Committee meetings and sends communications to GMUN listservs
Follows up with faculty for Report of External Professional Activities (REPA) compliance
Backup for assisting faculty to obtain access to federal grants database account creation, including National Institute of Health eRA Commons and National Science Foundation Fastlane
Creates and issues grant award fixed price emails
Coordinates research proposal Facilities and Administrative (F&A) reduction requests and communicates with faculty about their requests.
25% - Administrative Support
Serves as executive-level support to the Associate VP for Research Administration and SPA Director
Position also requires expertise in guiding visitors and individuals with complaints or concerns
Responsible for executives’ scheduling, travel arrangements and reimbursements, and phone support
Arranges travel and reimbursements for SPA staff
Creates financial documents and updates webpage content for SPA, including form and procedural changes
10% - Event Coordination
Assists with organization and execution of the annual Sponsored Projects Symposium for 450 University grant administrators which provides research administration training and networking opportunities, as well as other special event planning as needed
Logistical symposium support including but not limited to: scheduling space, coordinating the menu, scheduling session speakers, primary point of contact for all symposium-related questions, and all related administrative support for the day of the event
Supervises Executive Office & Administrative Specialist working to create subaward invoice payments and other tasks in Sponsored Projects office
BA/BS or a combination of related education and work experience to equal four years.
Proficient in interacting with high-level professionals, be articulate both verbally and in written correspondence
Serves as liaison with faculty, other departments, and external contacts for requests, policy/procedural questions, and problem resolution
Works independently, as a team member, and regularly has access to confidential materials
5-8 years of experience working in grant administration and/or working with high-level professionals
Experience with Enterprise Financial System (EFS) and other University systems
