Administrative: Coordinates and implements entire administrative process of the Center; analyzes data and uses judgment in making independent decisions regarding the coordination of the program; provides assistance to director in a manner that is affirming and productive in support of the overall vision & goals; responsible for promoting a clear customer service orientation throughout the center; provides administrative support for promotion & faculty committees; participates in special projects at the discretion of Center Director; participates in organizing special events for the Center and fundraising activities; serves as the IT contact for the Center; provides recruitment support for all postdoctoral candidates acting as liaison between international affairs office and any potential recruits.
Day-to-day office management, including scheduling international conference calls, schedule management, maintaining directors calendar, monitoring resource needs, coordinating meetings and conferences, ITC/website creation & maintenance, project management, supplies ordering, submission of surplus requests, all travel arrangements for Center employees etc.
Maintain Center website and promote opportunities for participating in research as well as financially donating to our Center. Facilitate collaborations between the Center and advocacy groups. Maintain patient and volunteer recruitments on networking sites, submitting blog and newsletter content, and other marketing or advertising outreach efforts, including creation of Center brochures, business cards, etc.
Financial Support: Oversee day to day operations of Center including but not limited to ordering, P-card expenses, PO requisitions, laboratory and office purchasing, invoicing, specialized record processing/technical activities.
Space: in conjunction with the Center Director, completes space and resource planning; works closely in identifying and prioritizing administrative and research resource needs including addressing space allocation issues; projects cost of space, management of facilities, including yearly walk-through of department area; work with Facilities and Maintenance, key retrieval, attend CHH tenant meeting.
Four years of general office or secretarial experience; OR An Associates degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelors degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience.
Ability to prioritize multiple tasks at one time.
Excellent communication, analytical and organizational skills: both written and verbal.
Strong organizational, interpersonal and writing skills are required.
Ability to clearly organize and/or adapt to multiple priorities and deadlines at one time is necessary.
Attention to detail, customer service, and critical judgment skills are essential.
A strong understanding of scientific method.
Previous work with physicians in an academic environment.
