Provides advanced administrative support for the Dean(s) of the Faculty and in close collaboration with the Director of Academic Budget and Operations and the Executive Assistant to the Provost and Dean of the College at College of the Holy Cross. Assignments involve work of a confidential or complex nature, requiring considerable discretion, judgment, tact and diplomacy. Performs a broad range of complex duties involving confidential or technical information, such as compiling reports, furnishing information, scheduling meetings and preparing agendas. Responds to routine correspondence, researches background material and responds to visitors and telephone calls. Must exercise considerable judgment and discretion in completing assignments.
Major Areas of Responsibility:
Supports and improves the effectiveness of the Dean(s) of the Faculty.
Coordinates day-today activities: oversee management of the Dean's calendars; prepare and/or provide key documents for use in meetings and appointments.
Screens correspondence and inquiries, making appropriate referrals where necessary; provides reviews, assessments, summaries, and background materials; monitors follow-up action steps; determine which matters to respond to independently, relying upon knowledge of office protocol and judgment.
Provide wide range of support: compose, edit, and proof correspondence and reports; compile data; solicit and research information from a variety of sources; manage pending projects to ensure that goals and deadlines are met.
Coordinates event arrangements either scheduled or not scheduled (room reservations, equipment and food) for interviews, regular staff status meetings, retreats, work sessions and other programs.
Facilitates the management of Performance Management System initiation and closure for the department.
Assists with faculty lifecycle from hiring, leaves, merit process and retirements.
Coordinates travel arrangements and reimbursements.
Supports senior leadership team requests and functions.
Preps the Dean(s) for their roles in campus-wide events.
Liaises with departments and divisions across Holy Cross.
Liaises with partner institutions, other institutions, external agencies, government departments and prospective students.
Communicates, interacts with and supports effective partnerships with peers, supervisors and subordinates.
Manage a portfolio of projects as determined in consultation with the Dean(s) of the Faculty, Director of Academic Budget and Operations and the Executive Assistant to the Provost and Dean of the College.
Bachelor's degree preferred or Associates degree with a minimum of 5 years of related experience. Three to five years' experience in an academic setting serving as an assistant. Ability to organize and manage time effectively. Excellent interpersonal skills and ability to work well with all levels of management and staff. Knowledge of office procedures. Proficient in Microsoft Office products (Word, Excel, Access, PowerPoint) and Google platform. Familiarity with PeopleSoft, Moodle Course Management System.
