The Epic Core Systems Manager provides leadership and expert knowledge to the Epic Core Systems team which supports core, cross module elements and functions of the Epic application suite. This position will manage a team of information technology professionals and identify ongoing staffing requirements. In addition, the Manager's primary responsibilities include, but are not limited to, strategic goal identification, needs prioritization, managing budget requirements, building and maintenance of positive customer relationships, development of overall business application architecture, maintenance of enterprise design standards, staff/resources management, vendor management and quality assurance for the Epic Core Systems team.
The Epic Core Systems Manager has responsibility to direct and manage the programs and team which support core, cross-module elements and functions of the Epic application suite. This includes security and access, application architecture and environment management. Under the general guidance of the Director of Enterprise Business Systems, the scope of responsibility includes primary accountability for the Epic environment strategy, user access and security, management of quality and data integrity of Epic master files, as well as Epic Data Courier application ownership. Key responsibilities include ensuring the availability and stability of mission-critical clinical and business applications; coordination of support activities including conducting annual system audits; establishing and maintaining systems for providing system access and appropriate security; working with internal and external customers to establish and meet service level agreements for exceptional customer service; and working with the vendor on issues and improvements for system functionality and stability.
Frequent interaction occurs with other ITS managers, directors and programmers for solving problems across systems. Interaction with operations staff is required to assure that production processes perform properly. Will work with software vendors to implement and support purchased tools and applications. Vendor contacts will be frequent to discuss existing products and potential new products and to discuss problems with the product and future needs.
This team is part of several teams that make up the Enterprise Business Systems (EBS) organization within UW Medicine IT Services. EBS supports and safeguards, through technology, UW Medicine's five billion dollar patient revenue cycle as well as UW Medicine's payroll/HR systems. Key customers of EBS are entity CFOs and their teams (i.e. Finance, Access, Accounting, Revenue Cycle, and Payroll) as well as clinical leadership as it relates to staffing, scheduling and service capture (charge) technology.
Managing Teams (25%)
Supervise and direct team of technical and application analysts to design, develop, implement, and support applications and systems that meet user requirements and are customer-service oriented.
Identify staffing requirements, including staff planning, recruitment, retention, training, coaching, supervision, evaluation, and discipline.
Conduct performance evaluations and measuring on a regular basis; implement standard practices, consistent with all IT Services teams.
Emphasize enterprise and IT Services vision and guiding principles to all staff.
Provide functional and technical expertise to staff.
Communicate IT Services and UW Medicine policy to the staff.
Establish and enforce technical and functional standards.
Ensure compliance with security and confidentiality requirements.
Promote an environment that is attractive to the IT employee and that facilitates the recruitment and retention of professional, technical, and support staff; includes, but is not limited to, staff development, recognition, motivation, communications.
May supervise contractors and other contingency workers.
Architecture and Enterprise Design Leadership (20%)
Collaborate to establish and enforce joint standards across teams for system design and use by UW Medicine.
Collaborate to establish and enforce QA standards.
Collaborate to establish and enforce solution set/application development standards.
Identify, document, and resolve global design issues.
Participate in the system planning process with IT Services and medical centers leadership, to include identifying strategic goals, prioritizing needs, and budgeting.
Participate in research, planning, evaluation, and implementation of strategic systems.
Work with IT Services and customer leadership to build business cases for significant system improvements or replacement.
Participate in system selection projects, to include requirements communication, vendor proposals, demonstrations, site visits, etc.
Develop implementation strategy, budget and roadmap in conjunction with operational and ITS leadership teams.
Customer Relationships (15%)
Plan and develop Service Level Agreements with key customers.
Actively manage user relationships to analyze, plan, prioritize, and follow-up project work.
Ensure that staff efforts are focused on user priorities.
Create and maintain a service-oriented relationship with customers. Expected communications include:
Setting expectations for scope, schedule, and effort for defined projects.
Reporting status of current efforts.
Identification of potential solutions and resolution of escalated issues.
Resources Management (10%)
Identify and recommend appropriate staff and material resources for projects.
Assign resources for active projects.
Monitor resource requirements across project activities and make adjustments.
Arrange and facilitate appropriate participation by Subject Matter Experts (SME) in project activities.
Provide quarterly reports on resource utilization and trends.
Manage operations and track to approved budget.
Vendor Management (10%)
Provide on-going management of vendor relationships.
Primary contact for the vendors
Establish priorities for implementations and enhancements
Track open issues for resolution and routinely report on status.
Provide oversight to vendor resources assigned to implementation projects
May develop and negotiate consultant and vendor agreements.
Quality Assurance (5%)
Responsible for developing appropriate systems and metrics for measuring project progress, workloads, and staffing.
Monthly status reports will be generated highlighting key metrics for IT services and medical center leadership.
Identify, direct, and participate in department quality improvement activities.
Participate in other committees as required.
The Manager leads, organizes and positively influences a team of 9 information technology professionals in support of core Epic Applications. The Manager also has administrative responsibilities for as well as coordinates, assigns, and reviews the work of the Epic Core Systems team members. The Manager makes hiring decisions, termination recommendations, reclassification recommendations, salary adjustment recommendations, and handles complaints and grievances.
Bachelor's degree in Computer Science, Business Administration, or in a healthcare or other related field or equivalent combination of education/experience. 5+ years' experience performing progressively more responsible tasks, to include:
4+ years of recent experience developing, implementing, and/or providing support for Epic applications.
4+ years of experience leading teams including responsibility for training, assigning, organizing/scheduling work, and reviewing completed work assignments.
3+ years' experience managing system vendor relationships.
3+ years' experience leading customer service-oriented processes.
Must have demonstrated skills in prioritizing the work of a team.
Demonstrated experience and understanding with one or more of the following key Epic concepts: Epic User Access and Security, Epic Environment Management, or Epic Data Courier Management.
Experience working in a service-oriented, Information Technology setting.
Strong written and verbal communication skills; including the ability to communicate clearly in English, both verbally and in writing.
Ideally, you'll also have: (desired skills and experience)
Epic application support and management.
Healthcare experience in operations and management.
Demonstrated project management experience.
