The CCCU is seeking a pro-active, enthusiastic team member to join our small conference team currently preparing for its quadrennial membership conference and exhibition in Dallas, TX from January 31 through February 2, 2018. This part-time position requires availability of at least 20 hours a week, and full-time availability during January and February 2018 in preparation for and during the 2018 CCCU International Forum. This position is benefits-eligible.
The Council is a professional association of 180 campuses in 20 nations whose mission is to advance the cause of Christ-centered higher education and to help our member institutions transform lives by faithfully relating scholarship and service to biblical truth. The Council coordinates professional development opportunities for administrators and faculty, manages U.S. based and international off-campus student programs, provides public advocacy for Christ-centered higher education and manages cooperative efforts among its member campuses (www.cccu.org).
Assist Director of Conferences & Events with planning the CCCU portfolio of conferences and events, including work with venue and vendor management including food & beverage, A/V needs, room set-up, etc.; and assisting with all registration related questions, producing and preparing name badges, etc.
International Forum tasks will include:
Assist with execution of convention center & key hotel logistics on-site
Coordinate convention packing processes
Coordinate on-site convention materials and supplies
Serve as on-site registration back-up
Coordinate post-Forum staff debrief meeting and outing
Serve as the primary backup point of contact for conferences and events in the absence of the Director of Conferences & Events.
Oversee preparation of pre-conference shipments and supplies.
Coordinate speaker logistics by tracking speaker status, serving as point of contact for speakers for CCCU conferences and events, coordinating pre-event planning phone calls as needed, providing programming, travel, housing, and audio-visual assistance as needed, and ensuring appropriate thank you and follow-up happens post-event.
Assist the Director of Conferences & Events with organizing vendor contracts, obtaining signature approvals and archiving counter-signed contracts.
Facilitate weekly conference revenue, registration, and roster reports via the CCCU database (iMIS) as needed by Director of Conferences & Events, Sponsorship Coordinator, or other staff.
Assist Sponsorship Coordinator in researching potential sponsors and exhibitors.
Help develop creative content for e-marketing and social media
Help manage and update conference webpages.
Maintain the Industry Calendar of Events and disseminate to appropriate staff.
Assist with posting web content for the conferences and events.
Assist the Director of Conferences & Events in creating post conference surveys and subsequent reports.
Assist the Director of Conferences & Events to ensure appropriate follow-up to all CCCU conferences and events as needed.
Provide support to the Director of Conferences & Events in coordinating special events, scheduling meetings, and other duties as assigned.
Persons applying for the position should:
Have a strong appreciation for the Christian mission and purpose of the CCCU and its BestSemester programs
Have exceptional verbal, written and interpersonal communication skills
Have at least 1-2 years experience in the meeting planning industry.
Have a willingness and ability to problem-solve on the fly.
Be a proactive, take charge person who loves to problem solve. CCCU has a small staff and every employee needs to take full ownership of their role.
Be excited at the prospect of working with a small staff and be a great multi-tasker. Tasks and responsibilities areas are not at all siloed.
Have excellent organization skills and ability to prioritize and manage multiple projects at once.
Be proficient with Microsoft, particularly Excel
Be able to work independently and meet deadlines.
Be a team player and able to work well with others
Be comfortable – and enthusiastic – with taking on new projects
Be able to travel January 26 – February 2, 2018
