Health Sciences Risk Management has an outstanding opportunity for a Program Operations Specialist.
This positions works with the management and administration of the event reporting system used by all UW Medicine entities and most affiliates. Supports clinical risk management, quality improvement and patient safety programs through management of business entity definitions for security; creation of reporting tools for use by programs to support risk management, quality improvement and patient safety. Develops, implements and manages training programs for users of the event reporting software. Develops and maintains policies and procedures for use of event reporting system. Serves as IT liason for UW Medicine users of the event reporting system. Under the direction of the HSRM Manager, supports administration of the clinical risk management event investigation system including module management, security management, software upgrades, report creation and troubleshooting of user issues. Supports HSRM Direction in data collection and analysis for yearly insurance activities.
This position is responsible for managing and monitoring the event reporting system which is managed by the Health Sciences & UW Medicine Risk Management program along with significant contributions from quality improvement and patient relations programs across all UW Medicine components. This position is also responsible for managing and monitoring the event investigation system under the direction of the HSRM Assistant Director for operations. These programs support improvements in quality and patient safety as well as regulatory compliance across all UW Medicine components through investigation and reporting of events. This position will manage and monitor confidential activities pertaining to the University's and contracted affiliate's event reporting operations. The position includes development and management of policies and an event reporting system that supports the risk management, patient relations, clinical quality improvement, compliance, and patient privacy and security programs of healthcare entities within UW Medicine, including development and implementation of special projects. This position requires the exercise of independent judgment and discretion in the development of department business operations and has delegated authority to make commitments that affect department operations.
This position has management and oversight responsibilities related to activities and functions of the Datix SafetyIntelligence program and delegated management responsibilities for the RiskMaster Accelerator program. The position involves working with highly confidential information on behalf of several health care entities and areas of functional responsibility. The position will have delegated decision making authority and as such, requires a thorough knowledge of applicable state and federal laws and regulations regarding health care quality improvement and patient privacy and security. Records maintenance and documentation must also conform to federal and state laws.
Departmental Operations Duties requiring independent judgment and delegated authority
Create, update and maintain SafetyIntelligence/RiskMaster information systems application procedures manuals.
Create and maintain business rules and documentation for the SafetyIntelligence information system/RiskMaster Accelerator system. Business rules include management of system access and restrictions to maintain quality improvement privileges and compliance with UW Medicine Information Security policies (federal and state law) and customer requirements. (5%)
Modify file/table formats to include adding new fields, reorganizing tables/files, and creating or modifying indexes; monitor job completion, back-up results, and space usage; run pre-defined load utilities; maintain common modules used for management of database management systems. (10%)
Provide primary customer service support to all SafetyIntelligence information system software user group managers and all RiskMaster Accelerator users, including :
Conduct needs assessments and consult with department and its customers to analyze application needs and problems; independently follow structured processes to determine requirements, define problems, determine needs, and solve problems independently. This includes participation in or direction of system/process improvement activities.
Use analytic skills to develop and maintain a system of reports to support decision making within the system and for its customers. Design and prepare ad hoc reports as needed. Offer advice and guidance to customers as to best practices for reporting content and format.
Assess training needs for the department and SafetyIntelligence information system customers/RiskMaster Accelerator system customers and create and deliver training sessions. Prepare and maintain appropriate manuals and training materials to assist database users. Provide client technical assistance and guidance.
Manage relationships with program managers of all customer groups.
Ensure that all updates from the software supplier are analyzed in correlation wth the release notes and any changes put into effect on the designed report form and the training manuals.
Plan and schedule the SafetyIntelligence/RiskMaster Users Group meetings to engage users in collaborative decision-making regarding software uses, upgrades, and processes.
Evaluate and suggest software upgrades and enhancements and act as project manager for all SafetyIntelligence/RiskMaster Accelerator software upgrade implementations. Project management includes development of the project plan, setting and maintaining the project schedule, developing the application design, maintenance and testing, assigning and directing the work of project participants, ensuring standards are met (quality assurance), developing and implementing a communication strategy, and budget management. Acts as application liaison to IT Services to ensure adherence to IT Services project management and information security requirements
Act as System Operator for the SafetyIntelligence information system. Maintain all required records and work with the System Owner and IT Services to ensure compliance in accordance with UW Medicine Security policies and state and federal laws.
Manage relationship with clinical information systems software administrators.
Position will be required to take the lead in any projects to assess upgrade and/or changes to event reporting and investigation software and their use.
Bachelor's Degree or equivalent experience.
2-3 years mimimum work experience.
1. Demonstrated experience using and/or acting as administrator of event reporting software for a multi-entity healthcare network. 2. Demonstrated experience using risk management software and related reporting software with demonstrated knowledge of administrator functions. 3. Excellent administrative skills with a high degree of accuracy and attention to detail. 4. Effective and professional oral and written communication skills. Must be able to communicate courteously, professionally and clearly with all levels of UW management and staff, vendors and UW Medicine customers. 5. Experience-based knowledge of customer service techniques 6. Ability to exercise independent judgment, decision-making, and problem-solving skills. 7. Ability to multi-task, prioritize work and manage a heavy workload with frequent interruptions. 8. Thorough knowledge of and extensive experience with relational databases and other computer systems, including Microsoft Office Suite (Word, Excel, PowerPoint, Access, and Visio). 9. Bachelor's degree in business administration or information system management is preferable.
L Experience using and acting as administrator of Datix SafetyIntelligence software for a multi-entity healthcare network.
Experience using RiskMaster software and SAP Business Objects software with knowledge of administrator functions of both programs.
Knowledge of UW Medicine entity and affiliate event reporting requirements and processes.

Experience in a clinical quality improvement or risk management setting, preferably within a hospital or healthcare setting, or equivalent education/experience
