The School of Nursing(UMSON) is currently recruiting for an Administrative Assistant II who willunder general supervision, provide complex administrative and technical supportto the Governors Wellmobile. The Governors Wellmobile is administered by theUniversity of Maryland, Baltimore School of Nursing (UMSON) Department ofPartnerships, Professional Education, and Practice. Work requires comprehensiveknowledge of the program where assigned, skill in working with issues related topolicy, procedures, and confidential matters, and involves considerableparticipation in the work of the supervisor. Incumbents exercise discretion andjudgment with considerable consequence of error.
Various projects and funding streams fund the WellmobileProgram's mission (per State of Maryland Statute) to provide primary andpreventive health care services to geographically underserved communities anduninsured individuals across the state and to serve as principle training sitesfor the UMSON for expanding student learning opportunities in caring forunderserved populations. Current nurse-managed primary careinterprofessional services are provided in Prince George's and MontgomeryCounties. The Wellmobile leverages state line funding to provide currentnurse-managed primary care interprofessional services to underservedpopulations in Prince George's and Montgomery counties.

Receive and read incoming correspondence andinformation. Summarizes and prioritizes review of correspondence. Screens out items to be handled personally and forwards remainder withnecessary background material.
Receive and screen telephone calls and visitors. Independently handle procedural and substantive matters and inquiries which donot require technical knowledge or refer callers to others as appropriate.
Make all necessary arrangements for travel and independentlyperforms required administrative follow-up and recordkeeping. Schedulesmeetings and appointments.
Interface with all levels of the clinic and office basedprovider staff to provide administrative and clerical support facilitatingtheir needs, including communication with the department, internal to UMSON,and across other schools (staff's location off-site). Provides informationrequiring comprehensive knowledge of institutional policies, procedures, andspecial departmental issues.
Assists with maintain a financial model of the Wellmobileoperation by majority funder by fiscal year.
Maintain current Wellmobile repair and utilization data andwork with the drivers to obtain and submit Wellmobile monthly maintenance andutilization reports for the vehicles to SON and campus facilities manager(s).
Maintain adequate and utilitarian par levels for medical andoffice supplies (including required clinical documentation forms) and equipmentfor the office and the clinic.
Research, analyze, and summarize financial and utilizationinformation and source materials for reports independently and communicatefindings orally and in writing.
Prepare invoices, reports, memos, letters, financialstatements, and other documents, and documentation for contracts, transactions,or regulatory compliance, using word processing, spreadsheet, database, orpresentation software.
Ensure consistency and quality of financial and clinicaldata through outreach and engagement actions to the clinical team for training,problem resolution and end user-supports.
Develop, implement, and maintain paper and electronic filingsystems which meet department needs and satisfy requirements for retention andinformation security. Enter, update, and retrieve information as needed. Create reports as needed.
Anticipates supervisor's course of action when absent andfacilitates problem resolution. Interpret administrative decisions andpolicies to other staff and transmits directions and instructions based onauthority delegated by the supervisor.
May provide guidance and instruction to other office supportstaff.
