Summary of Essential Job Duties: The Staff Assistant II (SA II) following established practices, policies, and guidelines, provides clerical and administrative support/duties in the licensed clinics at Cedars Sinai Medical Center. These duties include:
Answering incoming telephone calls
Scheduling and authorization for appointments
Coordinating services with registration and clinic staff, surgeries and ancillary services
Chart/medical records preparation
Sending information back to referring providers
Sorting and deposition of mail and patient information The Staff Assistant II applies a detailed knowledge of the areas of assigned responsibility, and a general knowledge of the ambulatory/outpatient physician setting and its interrelation with the larger Health System organization. The SA II ensures the timely completion of work assignments in accord with established time-lines. The SA II demonstrates excellent communication skills, takes complete and accurate messages and relays information to appropriate party to support operational aspects of patient care, patient appointment scheduling, surgeries and ancillary services. The SA II retrieves information from files as requested and assembles paperwork and reference material as requested by physicians, nurses, and patients and demonstrates the ability to assemble the admitting and financial paperwork for inclusion on the patient chart in accordance with regulatory and CSMC requirements. This individual will be responsible for following CSMC and HIPPA confidentiality guidelines while performing all duties. High School Diploma or G.E.D. Required. Two (2) years college preferred.
Successful completion of Medical Terminology course preferred. License/Certification/Registration Requirements: N/A Experience Requirements
Minimum two (2) years-experience in a healthcare and/or customer service required. Previous work experience in an ambulatory or outpatient setting or physician's office, preferred.
Strong interpersonal, written and oral communication skills for interacting with patients, payers, physicians and other CSHS customers.
Must possess a minimum computer competency comprised of a working knowledge of Windows or a comparable system (specifically including keyboarding and mouse skills). Must additionally possess a working knowledge of basic word processing, E-mail browsers and on-line internet access.
Experience demonstrating the ability to handle multiple tasks frequently with short time-lines, to prioritize and organize work, and to complete assignments in a timely, accurate manner.
Ability to interact effectively with Directors, Managers, internal staff, patients, physicians, and representatives of outside agencies. Physical Demands: (e.g., lifting, standing, walking)
Sitting, walking, standing, and lifting up to 25 lbs. Exposure to normal office noise. Physical Requirements:
Employee must be able to sit in front of a computer approximately 90% of their scheduled day to perform clerical and administrative functions.
