Rutgers, The State University of New Jersey, is seeking a Program Coordinator II Provides administrative support to the Political Science – United Nations and Global Policy Studies department administrator with oversight from the executive director for The M.A. Program. The M.A. Program in Political Science – United Nations and Global Policy Studies is a highly competitive graduate program in international and global affairs. It is the only M.A. Program in United Nations Studies in the United States, offering a liberal arts degree with professional development. The M.A. Program prepares students for employment in international policy sectors, both in the public and private spheres. Among the key duties of this position are the following:Assists with the coordination and administration of programs, projects, and/or processes and with the preparation and control of records, statistics, reports and documents.
Schedules appointments, arranges and coordinates logistics for events and meetings.
Processes various administrative documents and data.
Creates routine informational materials and basic unit supporting research activities.
Performs some fiscal support functions, and/or serve as liaison within and outside unit.
Works under direct supervision, with specific instructions on routine or semi routine work and within established work parameters for the unit.
First point of contact for prospective and current graduate students and answers program questions and arranges for visits.
Coordinates the Graduate Student Admissions process by utilizing the application portal and guides students in form submission and advises them on requirements for degree completion, and forms for graduation.
Maintains graduate student files from acceptance to completion of degree in addition to information spreadsheets with addresses, contact information, funding history and commitments, etc.
Prepares PTL & Coadjutant teaching appointments to be submitted for approval to the department administrator and SAS.
Coordinates and assists with student recruiting events, workshops, and other programmatic events. Coordinates needs with staff at satellite location (Manhattan Marymount University).
Provides reporting on program needs and enrollments for the Executive Director, office of the Department Chair, SAS Deans office, or other Rutgers University entity, or outside organizations.
Oversees program data including expenses for supplies, events, and reimbursement to faculty or students in the program, when applicable.
Completes additional work consistent with an understanding of the mission, vision, role, and goals of the MA Political Science United Nations Entrepreneurial Program.

Preferred Qualifications:Two or more years relevant experience in an administrative function.
Familiarity with SAS documents is preferred, as well as a good working knowledge of Rutgers Cornerstone and HCM or similar systems.
Interest/experience in foreign relations, government agencies, political science or the United Nations is preferred.
Required Knowledge, Skills, and Abilities:Requires proficiency with Microsoft Office, including Access, Word, Excel, PowerPoint, email and website maintenance software.
Must be comfortable working on multiple projects and priorities.
Must function well in a team environment.
Must be able to perform with discretion dealing with payroll matters.
Must be able to multi-task under pressure and maintain acute attention to detail.
