To assist the Assistant Director of Event Planning in providing supervision and direction for and management of the Event Planning functional area. Serve as consultant/planning advisor for events requested/reserved in Student Engagement and Campus Life managed spaces and campus public space (including A-frames, banners, display cases, lawns, quads, atriums, and other spaces). Advise sponsors with the concepts of advance planning, coordinating logistics, delegating authority, budgeting, and the multiple facets of the university event planning process. Coordinates the processing of requests for approval of events that include any liability concerns with Grounds/Facilities, University Police, Physical Plant, Parking Services, Risk Management and other university support offices, as well as local, county and state agencies. Provides supervision, training, and development for Events and Operations Associate and student staff. Assists groups in the coordination of their special events as needed, particularly for weddings and memorial services in War Memorial Chapel. Helps conduct Chapel tours and assists visitors, parents and students. Assists, as needed, with maintaining a clean and aesthetically pleasing environment in the Chapel. Works a flexible schedule to accommodate special events in the Chapel, as well as providing onsite support for events in other Student Engagement and Campus Life managed facilities as needed.
Bachelors in Public Relations/Administration, Hospitality & Tourism Management, Business Management or equivalent level of training and/or experience. Experience related to event planning, program development, and scheduling/coordination. Must possess creativity and demonstrate effective communication and management skills. Applicant must have the ability to effectively coordinate events in a high-volume, fast paced service-oriented office, experience performing multiple tasks simultaneously. Experience working with networked computer systems, ability to interact with student and department sponsors as well as university administrators, the ability to communicate effectively with groups in a workshop/seminar and one on one settings, and the ability to interpret, communicate, and enforce policies and regulations.
Supervisory and personnel development and training experience; experience with Dean Evans & Associates' Software (EMS), 25Live or equivalent scheduling software; experience with diagramming software equivalent to Social Tables or Microsoft Visio; knowledge of event related policies & statutes; with prior higher education/student affairs experience; direct experience working with students in a higher education context.
