ORGANIZATION OVERVIEW Serving more than 4,600 singers from all 57 Chicago zip codes, Chicago Children's Choir (CCC) is a nonprofit organization that inspires and unites youth from diverse backgrounds to become global citizens through music. What began in 1956 as a small choir in Hyde Park fostering interracial understanding during the civil rights movement has grown into one of Chicago’s premier arts education and performing organizations. This $4.7 million non-profit consists of a network of 130 choirs whose singers are empowered to bridge cultural and economic divides to become ambassadors of peace in their communities. With programs in 80 Chicago schools, 10 after-school neighborhood programs, an ensemble for boys with changing voices called DiMension and the internationally-acclaimed Voice of Chicago, the diversity of Chicago Children's Choir reflects the cultural landscape of the city. CCC is proud to provide access, with 85% of participants paying less than $50 for a year of programming. Under the leadership of President and Artistic Director Josephine Lee, CCC has become a civic treasure and a model of urban music education. In addition to numerous self-produced concerts and collaborative efforts with Chicago’s finest cultural institutions and as a result of its commitment to achieving intercultural understanding, CCC undertakes approximately 5 domestic tours annually featuring singers from the Neighborhood Choir Program and DiMension and an international tour featuring singers from Voice of Chicago.
POSITION DESCRIPTION Chicago Children’s Choir seeks a full-time Program Registrar. The position will serve to support and strengthen the organization’s program activities by maintaining a cohesive database of singer data, including demographic and evaluation information.
RESPONSIBILITIES Responsibilities include the following:
Input, organize and maintain In-School Program data
Manage collection and organization of In-School Program demographics
Collect, enter and maintain all In-School Program evaluation data
Input, organize and maintain After School Program Evaluations
Enter data for all Neighborhood Choir and Voice of Chicago evaluations
Send evaluations to families in a timely manner
Create evaluation reports for conductors
Synthesize data to prepare custom and ad hoc reports, spreadsheets, graphs and charts for regular presentations and dashboards.
Oversee Afterschool Program Registration
Maintain data integrity of ActiveNet Registrations.
Ensure that registration is updated and open
Develop attendance templates for After School Programs
Support program staff in implementing efficient registration procedures
Schedule Neighborhood Choir auditions and Voice Placements
Maintain updated School Contact lists
Implement and Maintain records/tracking for all auditions at concerts, open houses, festivals, etc.
Collect and maintain updated rosters and contact lists for all CCC programs
Follow up with families about tuition payments as needed
Assist Finance and Development departments in maintaining Raiser’s Edge data
Develop procedures to report data to Finance and Development Departments in an effort to centralize communications and data analysis.
Evaluates policies, procedures and best practices that relate to data management and data and reporting services to identify areas where change will improve the efficiency of the team and contribute to improved understanding of the overall impact of CCC programs.
A bachelor’s degree is required
1-3 years working experience with data analysis, program registration or other relevant experience ? Proficient at multitasking and comfortable working in a fast-paced environment.
Experience with Excel, ActiveNet, Raiser’s Edge, Salesforce or other data systems
Knowledge of relational database concepts/Proficiency in relational databases
Ability to research, recommend, and implement data systems for complex and changing data tracking, manipulation, and usage.
Ability to conceptualize, integrate and manage multiple data systems.
Strong work ethic and is detail oriented.
Experience with structured and unstructured data. ? Flexibility to work after regular office hours for concerts and events ? A passion for the mission of Chicago Children’s Choir ? Familiarity with or interest in performing arts and arts education
