Performs support and coordination function, in addition to, data analysis for the Associate Vice President, Patient Care Services and his/her direct reports. Coordinates school affiliation placements and documentation regarding the requirements of the agreement. Collects data, provides analysis of same and displays findings using appropriate methods, (e.g., bar graphs, flow charts, pie charts). Maintains calendars, schedule of meetings and administrative records for the Department. Records, transcribes and distributes minutes for various meetings. Manages and processes nursing staff conference registrations and payments. Performs routine office typing, filing and dissemination of information for the department. Monitors office environment to ensure that all office equipment is functioning properly, as well as, maintain adequate supplies for the office. Ensures smooth flow of office activities and meetings.
Bachelor degree. Experience with databases, spreadsheets and word processing required. Proficient in Microsoft Word, PowerPoint, Excel, Access, Publisher, Prezi and SPSS. Ability to ascertain appropriate representation of data via bar graphs, line graphs, linear graphs, run charts, etc....
Uses Microsoft Word, Excel, Acess, Publisher and PowerPoint, Prezi, SPSS and various other programs to record and analyze data with accuracy to produce reports in a timely manner.
Tracks and maintains outcomes report (e.g., Magnet, Peer Review, Safe Patient Handling).
Performs integration of nursing regulatory and accreditation reports via both computerized and manual reports.
Assists with student placement by reviewing and tracking student files for completeness and compliance with requirements.
Creates, edits and maintains Course Catalog.
Produces Annual Report for department.
Answers telephones, determines nature of call and supplies necessary information or refers to appropriate person; greets guests, supplies information or refers to appropriate person.
Coordinates and manages schedules for AVP.
Develops and follows systems to ensure efficient work flow and completion of work by due dates.
Drafts memos and other correspondence after receiving general instructions.
Ensures that proper forms are being used and proper procedures are being followed by all personnel.
Enters educational data into the computer system Net Learning.
Keeps proper stock of all office supplies & equipment.
Maintains & updates all files & clinical affiliation contracts as needed.
Maintains & updates all manuals and policies for the department.
Maintains files and sends correspondence for the department.
Organizes and implements projects that involve duplicating, collating, distribution and/or mailing.
Prepares & posts monthly calendars for department.
Prepares reports for the Associate Vice President.
Processes weekly payroll.
Produces documents from rough drafts of handwritten and typed materials or dictated tapes; seeks clarification and confirmation of the rough draft from appropriate parties.
Records and transcribes minutes for department meetings, as well as other meetings as assigned.
Completes requests for dietary, purchases, reimbursement and others as needed.
