UW MEDICINE RECORDS MANAGEMENT SERVICES has an outstanding opportunity for a full time RECORDS ANALYST 2. Under the general supervision of the Records Analyst Supervisor, UW Medicine, the Records Analyst 2 is responsible for implementing the mission and goals of the UW Medicine Records Management Services program. The Analyst 2 is responsible for developing and interpreting records retention schedules used by UW Medicine, and identifying new series. The Analyst 2 is also responsible for communicating with clients about solutions to the organization and retention of their records. The Analyst 2 is responsible for ensuring consultations with records creators and users, as well as with subject matter experts and other stakeholders, in the development of new series and in keeping the retention schedule relevant and up-to-date.
Duties include but are not limited to:
Develops records retention schedules and defines records series unique to UW Medicine; conducts legal, fiscal, administrative, and regulatory research related to series definitions and retention periods; implements and utilizes the Versatile database (VE) retention module; maintains and updates the online version of the records retention schedule; attends the Washington State Records Committee meetings and consults with the Washington State Archivist and Records Manager when needed; ensures broad consultation with records creators and stakeholders;
Specializes in all aspects of clinical trials and human subject research records and provides advice, resources and training on how to manage related records; develops expertise in health care related records, and other records unique to health care systems;
Provides online and onsite consultations with clients regarding the management of their paper and electronic records including file plans, workflows, standard terms, and retention. Develops and publishes online training and education opportunities for UW Medicine staff regarding the management of paper and electronic records.
Develops internal process improvements, including optimizing existing manuals and forms, and other documentation; promotes facilitates the adoption of scan and destroy policies throughout UW Medicine, including enterprise policies related to systems as well as departmental policies.
Acts as back up to the accessioning process, and performs special projects as assigned or required.
