ADMINISTRATIVE SUPPORT COORDINATOR I - The Ethnic Studies Department, in the College of Liberal Arts, offers a B.A. in Comparative Ethnic Studies, and two minors: 1) Ethnic Studies Minor, and 2) Indigenous Studies in Natural Resources and the Environment (INRE) minor. The department offers a range of courses that fulfill general education (GE) and U.S. cultural pluralism requirements (USCP). The major currently supports 50 students, and was established in spring 2006. The minor programs are open to all majors and provide a useful complement to the different types of inquiry used in the wide variety of disciplines throughout the university. There are currently 40 active minors participating in the program. The department is comprised of a department chair, seven tenure-track faculty, and three to five part time lecturers. The department, and its faculty, partner with various campus programs (e.g., Cross cultural Centers, Office of University Diversity and Inclusivity, Center for Teaching Learning and Technology) to provide outreach, service, and education on issues of diversity and inclusion.
Administrative and clerical support is provided by one staff position and a student assistant. This position is responsible for the full range of administrative support of the department and supervision of the department office, including serving as the primary and initial contact/representative for the department to university members (students, faculty, staff, and administrators), parents, vendors, government/agency representatives and administrators, and the general public; providing administrative support for its academic programs (e.g. class scheduling, catalog/curriculum revisions, student recruitment, scheduling, and evaluation); scheduling appointments and meetings; coordinating travel; composing routine correspondence and generating reports; and organizing special events such as talks and workshops. Under the general direction of the Department Chair, this position operates independently and provides historical continuity in light of the periodic rotation of the department chair.

Minimum Qualifications (Staff Only):
High school diploma or its equivalent. Type 45 wpm. Four years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)
Ability to employ cultural competency to effectively handle a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Experience to be fully functional in all technical aspects of work assignments.
Thorough knowledge of Microsoft office systems and ability to use a broader range of technology, systems, and packages.
Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
Working knowledge of budget policies and procedures.
Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
Ability to draft and compose correspondence and standard reports.
Demonstrated customer service experience requiring a very high level of conflict resolution, diplomacy, and professionalism.
Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
Ability to provide lead work direction.
Thorough knowledge of English grammar, spelling and punctuation.
Ability to interpret, communicate and apply policies and procedures.
Demonstrated ability to maintain a high degree of confidentiality.
Ability to provide the full range of support planning and execution for presentations and events.
Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
Experience with website maintenance.

Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
Must have ability to safely move and unload boxes of supplies/ files and place them in the storage areas. Job may require occasional lifting and/or moving of office supplies and paper (up to 25 lbs.).
Must be able to work in an area where there are constant interruptions from traffic, telephone calls, computers, printers, students and faculty, etc.
This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA).
The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
