Organize and provide administrative support for the Body MRI Division. Coordinates office services such as purchasing, payroll, records control, and other administrative activities; interprets operating policies; exercises independent judgment in resolution of administrative problems. Participates in the development of budgets and ad-hoc reports for Body MRI clinical, research grants and educational activities. Assist in the coordination and monitoring of activities concerning Body MRI following established Radiology Department, Hospital, and Healthcare Systems policies and procedures. Under general supervision, but according to established policies and procedures is responsible for providing personal secretarial, clerical and administrative support services, such as preparing, editing and distributing correspondence and reports in final form, receiving and screening visitors and phone calls, scheduling meetings, maintaining files, and conducting special projects as assigned. Prepares listing of all research proposals requests funding from providers generate submissions in COEUS to federal(NIH, CDC, DoD, HRSA, FPC, HJF, USAID), local agencies, and private foundations, Collaborates with other support personnel within the department as required.
Administrative: Schedule meetings, appointments, and travel for Division Chief. Process reimbursements for faculty, fellows, Visiting Professors, students, etc. Maintain Education Lectures; maintain Time Record and leave requests for Faculty and Fellows; maintain Body MRI clinical Schedule/Rotation calendar. Assist in maintaining Body MRI Radiology Website. Coordinate Teleradiology: Invoice, Maintain and Allocate Funds; create/Distribute Weekly Clinical schedule. Order Office/Equipment Supplies; Pay and track invoices; coordinate Section events/parties; facilitate Visiting Professors and Vendors visits to the Section (i.e. book hotel/travel). Reconcile and maintain Procurement card statements and expenses. Update Sharepoint with current clinical and conference schedules. Responsible for Body MRI processes and practice changes and updates; support/Assist: 5 Faculty, 4-6 Research Fellows, and 1 Research Associate; Ensure all new staff/fellows/faculty have proper access, paperwork, supplies, and orientation to Section; other duties as assigned; perform notary services; participate in meetings as needed.
Creates and types Word documents, Excel spreadsheets and PowerPoint presentations for various meetings and presentations. Coordinates and assists with planning of special projects and events including 1-2 annual CME meetings, office activities and committee meetings. Operates personal computer to access e-mail, electronic calendars, and other basic office support software. Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports. Performs ad hoc assignments as needed.
Research: Input/Complete Proposal Developments in COEUS. Obtain signatures and download attachments into COEUS; complete/Review PDS prior to submission for approval; assist in Funds transfer. Follow up on grant status and assist in grant submissions.
Educational Activities/Fellowships: Facilitate yearly Fellowship interviews. Process research and clinical fellowship applications; process observerships and medical elective applications; process volunteer applications; provide orientation and documents for all new hires.
