Provides specialized clerical support to area by applying established policies and procedures to a variety of clerical duties; some judgment is exercised when considering several pieces of information to determine the correct course of action.
Characteristic Duties and Responsibilities:
Prepares, processes and/or maintains paper or computerized forms relevant to a specialized function/area based on established policies and procedures; may assist in the completion of forms; verifies accuracy and completeness of forms; may obtain missing information and/or verify accuracy of information prior to validating and processing forms.
Responds orally to questions/problems from students, parents, employees and others relative to area of specialization; may access information from a variety of sources (e.g., paper or computerized files, other departments, etc.); takes appropriate action to resolve problems (e.g., completes forms, directs to another area, etc.).
Maintains a system or subsystem of paper or computerized files regarding area of specialization.
Operates various office equipment (e.g., computer, typewriter, calculator, duplicating machine, facsimile, etc.).
May print and mail standard response letters (i.e., form letters) to students and others concerning requests for information or processing of paper or computerized forms pertaining to area of specialization; occasionally may alter or modify standard letters.
May answer telephone and greet visitors.
May type brief correspondence, routine forms, envelopes, memos, etc., using a typewriter or computer.
May train and direct student or temporary employees; may participate in training new employees.Performs related duties as required.
High school diploma or equivalent. A minimum of six months clerical experience in an office or business setting.
Required Knowledge, Skills, and Abilities:
1. Ability to operate a computer for word processing and/or data entry/retrieval.
2. Ability to apply policies and procedures.
3. Skill in interpersonal communication to effectively interact with University personnel and public in person and over the telephone (e.g., to answer routine questions, explain procedures).
4. Ability to maintain accurate records.
5. Ability to classify information according to established methods.
6. Skill in typing (i.e., 35 net words per minute), if required by position.
7. Knowledge of office practices and procedures.
8. Ability to operate various office equipment (e.g., calculator, copier machine, facsimile machine, etc.).
9. Ability to perform basic mathematics (e.g., add, subtract, multiply, and divide whole numbers, fractions, and decimals, and to calculate percentages).
10. Knowledge of English grammar, spelling, and punctuation.
11. Knowledge of standard procedures for alphanumeric filing.
12. Ability to read, write, and accurately follow oral and written instructions.
13. Ability to identify pairs of items that are the same or different.
