The Administrative Assistant performs a variety of administrative functions in support of the Associate Vice President of Government & Community Relations and the Director of Community Relations. She or he will ensure the timely and effective operations of the office in addition to providing support for various departmental meetings, events and sponsorships.

Bachelors Degree or equivalent work experience. Strong knowledge of Microsoft Office Suite, Microsoft Outlook and Adobe Acrobat Pro. Demonstrated effectiveness in performing administrative support functions including events management, maintaining calendars, arranging travel, processing invoices, purchase orders, reimbursements, and other related functions. Ability to work with a wide range of constituents including government officials, community leaders, senior leadership of the College, other administrative support staff, faculty, students and staff. Ability to work on a variety of projects and tasks simultaneously while prioritizing the work in an efficient manner.
Previous experience with monitoring budget expenses and purchase requisitions using the Banner system and strong knowledge of Adobe Acrobat Pro. Experience producing large scale documents required.
Required Prior Work Experience:
Experience providing administrative support to a Director level or Executive level position.

Manage daily administrative functions for the Office of Government & Community Relations, including coordination of calendars, meeting scheduling,and the preparation of meeting materials, make travel and transportation arrangements.
Greet guests arriving to the floor and direct them to the appropriate offices, including Government & Community Relations, the Elma Lewis Center, the Office of Diversity and Inclusion, the Office of Academic Engagement and Community Action, the Office of Internationalization & Global Engagement, and the Office of International Student Affairs.
Answer phones for the Office of Government and Community Relations including the main line and provide phone support for the AVP of Government and Community Relations and the Director of Community Relations.
Order office supplies, process check requests, expense reports, and create purchase orders through the Banner system. Reconcile monthly PCard charges for the AVP of Government and Community Relations and the Director of Community Relations.
Work on special projects as directed by the AVP and Director of Community Relations.
Plan event and program logistics for the Office of Government & Community Relations, including the processing of online catering orders, online room reservations, and the creation of invite and RSVP lists for meetings and special events.
Maintain current budget files, file departmental documents, maintain databases/mailing lists and create processes to ensure the smooth running of the office.
Manage departmental newspaper subscriptions for renewals and cancellations. Troubleshoot office equipment issues and work effectively with campus services, Print & Copy Center, IT Help Desk, Facilities, and Business Services. Run errands on campus in addition to City Hall for deliveries or pick ups.
