The Cellular and Molecular Biology Program (CMB) is a vibrant PhD-granting program that offers a unique interdisciplinary perspective based on the latest research advances incorporating cellular and molecular biology. Students can choose from more than 150 faculty laboratories throughout the University, and interact and collaborate in a student-oriented research environment with cutting edge research resources.
The CMB Program was the first interdisciplinary degree-granting graduate program in the sciences at the University of Michigan and remains the only broad-based training program in biomedical sciences. It is supported by a long-standing training grant from the NIH. The CMB Program fosters interactions among students and faculty, helping to broaden the students' appreciation of diverse research opportunities and to encourage interdisciplinary thinking in a highly collaborative atmosphere.
This position will provide general administrative support to graduate students, faculty and staff in the Cellular and Molecular Biology (CMB) Graduate Program. Under general supervision of the Administrative Specialists, provide student services assistance that includes, but is not limited to student records, curriculum, event organization, reconciliation of department accounts, and miscellaneous office duties.
Graduate Student and Faculty Support:
- Provide excellent customer service to assist approximately 60 graduate students in achieving academic milestones to ensure appropriate progress towards their degree.
- Assist with tracking and maintaining student stipends, healthcare and tuition.
- Assist faculty with courses including attendance sheets, gathering needed materials and setting up and breaking down the classroom as needed.
- Assist with departmental training grants including yearly progress reports, and renewal applications, updating and maintaining various student and alumni tables, and training grant renewals.
- Responsible for the creation and maintenance of canvas sites each semester for program courses, opening course sections for registration, tracking attendance, making room reservations and speaker travel arrangements, and corresponding with students and faculty.
- Serve as back-up for all other student service activities.
Help to ensure an efficient recruiting and admissions season for prospective graduate students to enable the CMB Program to admit its target number of high quality students. Assist Admissions committee as needed.
- Responsible for executing all details for seminars, meetings, retreats, receptions, recruiting events and other special events (Annual Retreats, Annual Symposium/Poster Sessions, faculty meetings, weekly research seminars, invited guest speaker seminars, graduate student thesis defenses, new-faculty lunches, and student-faculty social events).
- Reconciliation of program accounts including gift funds, general funds, and sponsored research funds; process non-PO vouchers, faculty, student, and external invited guest speaker reimbursements, PCard reconciliation, and honorarium payments.
- Create and maintain all files as needed for students and faculty; Responsible for collecting data and updating the faculty/student directories, various handbooks, and the departmental newsletter.
- Order and maintain all office and hosting supplies;
- Perform routine administrative support (phone, mail, email, correspondence and filing).
Marketing and Communications:
- Provide support for marketing and communications including web content maintenance using Drupal, social media platforms, email communications, and traditional print materials.
- A minimum of a high school diploma is required and at least 2 - 4 years of relevant work experience in an administrative or student services capacity.
- Excellent interpersonal skills including a positive, responsive customer service attitude and the demonstrated ability to work cooperatively in a team-oriented work environment.
- Must be able to communicate effectively with a large and diverse group of prospective and enrolled students, faculty and staff in various offices across the University and with the general public.
- Ability to organize and coordinate multiple and diverse tasks with excellent attention to detail and a high degree of accuracy, and to meet deadlines in a timely manner amid a variety of distractions and occasional stress.
- Ability to exercise initiative, independent judgment, tact and diplomacy to resolve problems.
- Excellent communication skills, both oral and written, including a high level of effective communication skills on the telephone, in person, and in writing.
- Proficiency in the use of Microsoft Office software suite (including Word, Excel, Access and Power Point).
- A Bachelors’ degree desirable.
- A working knowledge of University and Rackham policies, procedures, and practices related to student affairs desirable.
- Hands-on experience with the M-Pathways Student Administration and HR system is desirable, including the student financials, recruiting, admissions and curriculum modules.
- Experience with survey software such as Survey Monkey, Google Forms/Docs or Qualtrics desirable.
- Experience working in a Drupal web environment, Canvas desirable.
- Experience using various forms of social media.
- Experience with training grants and using XTrain highly desirable.

Occasional need to work overtime during Annual Retreats and Admissions Season.
