Arlington Economic Development (AED) is seeking an experienced administrative professional to join their Cultural Affairs Division (CAD). CAD's core mission is to foster a creative environment that encourages collaboration, innovation, and community participation. This employee will have a key role in executing CAD programs through providing excellent internal and external customer services – including scheduling, logistics, contracting, procurement, supporting grant applications, and accounts payable. This employee will serve as the artist services coordinator and primary administrative technician for the Cultural Affairs Development/Programming unit, assisting with arts and music festival production, partnership coordination, communications/media assistance, event logistics and other coordination functions to support the varied activities of the Division.
Specific duties include:
Managing administrative duties including contract fulfillment, creating new supplier requests, requisitions, purchase orders and payments to all contracted artists, agents, or consultants providing Cultural Development programs;
Researching and responding to requests for supplier, contract and payments updates, and budget information;
Serving as the Artist Services Coordinator for CAD performances and events including procuring and/or renting and scheduling artist hospitality, hotel accommodations, ground transportation, catering, and non-technical event equipment;
Providing program research, collaboration and communication to the Director of Cultural Development;
Supporting division grant applications through research, writing, submission, and tracking of various grants; and
Assisting the Director of Marketing with creating and scheduling bi-monthly arts e-newsletter, updating internal/external calendars, and tracking for programs and events that require advance registration/ticketing.
The ideal candidate will have excellent written and verbal communication skills, will be a proactive self-starter with exceptional interpersonal, organizational and time-management skills, will have the ability to collaborate with colleagues across a range of disciplines; and interact professionally with stakeholders and vendors at all levels of seniority.
