The Assistant Director oversees the daily operation of a wide scope of Business Support and administrative functions for Facilities Management (FM), including payroll/personnel for all union and non-union employees; high-level financial reporting and analysis; full accounting duties for FMâ??s University Events division; equipment tracking; insurance claim tracking & processing for all of FM; interdepartmental billing (Sold Services); administrative expenses; tracking and administering payments for union leaves of absence; managing the reception area for the FM building; etc. Another key responsibility is the formulation and implementation of high-level strategic initiatives as related to Budget & Finance based on University, departmental and area goals. The incumbent is directly responsible for oversight of budget line items totaling $30M, including budget formulation, reporting, expense analysis, process improvement, internal controls, and making recommendations for corrective measures to responsible cost centers and upper management; and also contributes to area, department and University objectives and current FM department initiatives.
Requires a Bachelorâ??s Degree, MBA preferred. Minimum of 8 years of relevant experience. Requires professional knowledge of the theory, principles, and procedures of accounting, auditing and financial management. Requires knowledge of the principles and procedures used in budget preparation, accounting administration, and development of internal control. Requires professional knowledge of the principles and techniques used financial analysis, and research, and the ability to convert financial information and outcomes into reports of findings, and develop conclusions and recommendations. Requires well-developed skill with personal computer software sufficient to design and use spreadsheet and database models. Requires well-developed human relations skills sufficient to supervise staff, carry out negotiations, make formal presentations, conduct performance reviews, and communicate technical concepts to diverse audiences. Requires the ability to supervise, train, evaluate and motivate staff in a way that optimizes service. Requires the ability to plan, organize and prioritize complex and technical work processes in order to meet schedules and timelines. Requires excellent communication and customer service skills for interaction with co-workers and the campus community at all levels. Requires expertise in the field of contracted services, including Professional Service Agreements, RFPs, etc. Demonstrated ability to negotiate and navigate in a complex, collaborative environment. Ability to use good judgment and provide exceptional leadership. Ability to plan steps and carry out multi-phase projects requiring problem definition and modified techniques, to coordinate work with others, and to modify methods and procedures to solve a wide variety of problems. Ability to direct and organize program activities and to establish program goals and objectives that support strategic plans. Ability to develop and evaluate policies and procedures. Ability to prepare and analyze reports. Ability to foster a collaborative, team centered environment. Must be able to work effectively with a diverse population.
