This position will fill a core vacancy in our finance and administration team. Reporting to the Associate Director of Finance and Administration, the Finance and Administrative Assistant will coordinate all aspects of accounts payable; assist in the financial management of programs and projects; support general office management initiatives; and handle calendar and scheduling needs of the administrative team.
The Center has an annual headcount of 47. The team consists of a diverse mix of faculty, research fellows, staff and student RA's, and is actively managed by the senior leadership team.
Specifically, these duties include:
Accounts payable: Vendor setup, payment requests, corporate cards, concur reimbursements, non-employee reimbursements, and perform other related tasks as necessary.
Financial Management: Prepare journal entries and wasabi transmissions, manage and update spreadsheets, draft budgets, assist Associate Director of Finance and Administration to track FXB Center and program expenses, and perform other related tasks as necessary.
Administration: Office management including conference room setup, booking, and maintenance; office supply ordering, kitchen management, troubleshooting operations related issues, preparing wasabi related transactions, assist Associate Director of Finance and Administration in the recruitment and on-boarding of staff, assist in the scheduling needs of the administrative team (e.g., scheduling admin meetings, management meetings, and staff meetings) and perform other related tasks as necessary.
Please Note: This position has a term appointment of one year from date of hire with the possibility of extension.
