The Nurse Manager has supervision of the Registered Nurses, Certified Medical Assistants, Medical Laboratory Technician and evening students at two clinical research units. This position oversees the day to day activities within the clinics and ensures that staffing is adequate during the day, evening and after hours (if needed). The Nurse Manager serves as the primary contact for study staff as part of the CRIS study start-up process. This position utilizes nursing knowledge to understand study needs and to ensure that procedures are within the clinic research staff’s scope of practice.
Essential Functions or Job Duties
1. (40%) Supervision of Registered Nurses, Certified Medical Assistants, Medical Laboratory Technician and student workers. Supervision responsibilities include:
a) Overseeing the day to day activities of two research units.
b) Ensuring each clinic and shift is staffed adequately.
c) Creating a staff schedule and sending it out every other week.
d) Forecasting future scheduling needs.
e) Scheduling staff for visits outside of regular business hours (overnights, late evening visits, weekend visits, etc).
f) Scheduling staff for offsite locations (visits in the community and at Fairview)
g) Review of time cards to ensure accuracy.
h) Approve vacation requests.
i) Review of source documents and charge sheets to ensure all procedures completed are charged correctly.
j) Review of source documents to ensure they are completed and accurate.
k) Point of contact for any incidents that may occur on the CRIS research units.
l) Complete and perform annual performance reviews.
m) Onboarding and training of new employees (Standard Operating Procedures, Work Instructions, protocol training, other training required for position.
n) Mentor staff
2. (30%) Serve as the primary point of contact for studies requesting Clinical Research Implementation Services in one of our research units by collaborating with study staff to ensure the successful implementation of a protocol:
a) Collaborate with study staff to understand study needs and to ensure that what is needed is within our staff’s scope of practice.
b) Meet with Investigators/study teams to understand study needs
c) Utilize nursing knowledge to understand the needs of the protocol.
d) Read/review the protocol and compare to study documents for accuracy.
e) Facilitate the completion of study documents by assisting study staff with creation or review.
f) Assign clinic staff to create or review study documents and ensure they are completed in a timely manner.
g) Ensuring all documents (most current protocol, International Review Board approval letter, etc) are available on the portal.
h) Schedule and attend protocol in-services at research clinics.
i) Once all documents are in order and the in-service has been held, give approval for study staff to have access to the scheduling system for their study.
j) Apply clinical research knowledge and broad understanding of functional areas to develop solutions to complex problems.
k) Collaborate with Fairview, UMP, other departments, etc. in the conduct of clinical trials
l) Modify practices and procedures to improve efficiency and quality.
m) Identify and recommend process improvement initiatives
n) Problem solve varied situations that require significant analysis or interpretation and integrative solutions.
3. (10%) Ensure unit maintenance is performed on all clinic equipment per requirements:
a) Point of contact for equipment maintenance – notified by staff when a piece of equipment is in need of repair or is not working properly.
b) Put in requests for equipment to be maintained on a quarterly or yearly basis:
2) Food scales
3) Laboratory Pipettes
4) Freezer/refrigerator thermometers
5) All other clinic equipment (blood pressure cuffs, scales, stadiometers, thermometers, Electrocardiogram machine, infusion pumps, etc)
c) Understanding of how the equipment works and what the calibration needs are.
d) Collaborate with vendors when looking for new equipment or learning more information about current equipment.
e) Identify new equipment needs and gather quotes from different vendors.
f) Purchasing new equipment and organizing delivery dates and delivery to the correct clinic.
4. (10%) Oversee monitoring of freezers:
a) Point of contact for sample storage. Manage space and assign to study staff when requested.
b) Ensure freezers are being defrosted on a consistent basis.
c) Point of contact for any issues with freezers.
d) Collaborate with Facilities Management employees or other vendors on how to fix any issues.
e) Run monthly temperature logs and review for any inconsistencies.
f) Review temperature logs for freezers/refrigerators that are manually monitored
g) On 24 hour call for any freezer alarms.
h) Gather quotes and purchase new freezers, when requested.
5. (10%) Other duties
a. Provide coverage for the Clinical Research Implementation (CRIS) Manager and nursing coverage to research units.
b. Review any research invoice disputes.
c. Collaborate with CRIS Manager on the creation of CRIS Work Instructions, policies, etc.
d. Meeting with Investigators who want to provide feedback of how the study is going or improvements needed. Conduct tours of the research units.
