Description OFFICE OF CONTRACT AND GRANT ACCOUNTING COSTING ANALYST JOB DESCRIPTION Primary Requirements The Cost Analyst position will participate in the preparation and development of the organization's cost analysis activities. Responsible for gathering, analyzing, understanding and reviewing data to ensure proper allocation of costs to the benefitting functions. Ensures the integrity of internal/external data sources and workflows. Prepares timely and accurate reports for both internal and external purposes consistent with a basic understanding of the Institutional mission, policies and procedures as well as applicable external regulations. Specific Job Responsibilities Key Function : Assist with F&A Proposal and Calculations Specific Examples: Review Cost Center attribute coding to ensure the correct treatment of costs in the Universities Facilities and Administrative rate calculations and proposal. Prepare and/or update space survey training material and conduct training for the annual space survey. Review space surveys for major research departments to ensure all occupants paid from and/or working in the department are accounted for, and all cost centers and projects funding activity in the department have been accounted for, and to ensure the rooms have been properly functionalized to ensure facility cost allocations used in the Facilities and Administrative rate proposal are accurate. Prepare, reconcile, and load Space survey information to the F&A software and resolve all issues related to space. Load fixed equipment depreciation to space file and reconcile to G/L and records of the appraisal company. Responsible for the accurate allocation of facilities and equipment depreciation, and interest expense in F&A proposals and calculations. This includes the reconciliation of these costs from the General Ledger and Sub-ledger to the amounts allocated in the F&A proposal. Responsible for ensuring the accuracy of movable equipment costs and their allocation in the F&A proposal. This includes targeted audits of the existence and accurate location of high cost equipment. Also, maintain database of equipment used in CORE/recharge operations. Responsible for reviewing and renewing the annual contract for the Component study of Research Intensive Buildings and collecting and summarizing pertinent capital project data for the conducted by independent appraisers, facilitating the appraisers needs to physically inventory and review fixed equipment installed as part of new construction and renovation, and to reconcile the work of the appraisal company to Vanderbilt's general and subsidiary ledger and project cost information. Perform transactional scrub of administrative cost centers for F&A proposal to ensure administrative costs included in the F&A proposal are allowable per government rules and regulations. Act as technical liaison with external F&A software vendor and update / trouble shoot installations where necessary. Key Function: Indirect Cost Revenue/Expense Reconciliations and Reporting Specific Examples: Maintain the Database used to reconcile Indirect Cost Revenue to Indirect Cost Expenses and prepare and record adjusting journal entries where necessary. Key Function : F&A Costs Calculations to Fully Cost Specific Activities Specific Examples: Calculate Facilities and Administrative Costs for each of the University's Unrelated Business Income Tax activities. Calculate Facilities and Administrative Costs related to Specialized Service Facilities Key Function: Other Miscellaneous Reporting Specific Examples: Prepare the Research Rate of Recovery report for quarterly financial reporting. Other ad hoc reporting needs Preferred Skills: Extensive knowledge of common business software applications (Microsoft Excel, Access, PowerPoint, and Word)
