As part of a dynamic team that delivers KLS-wide services, the Coordinator, Enterprise Services, is a trusted resource who reports to the Director, Finance and Enterprise Services. The role touches all aspects of administration as well as parts of the Harvard Library system as a whole and provides executive support to KLS's Executive Director.
Administration, Executive Support and Operations
Oversees administrative projects for Finance and Enterprise Services (FES), the Executive Director and KLS-wide. Determines priority, solicits assistance or delegation path, and problem-solves strategically and creatively.
Administers a complex calendar for the executive director, including planning and executing travel arrangement, reimbursements and other related activities, and organizes files.
Coordinates and participates in leadership team and other meetings and events, organizing agendas, action items and planning to ensure smooth execution.
Reads, proof-reads, researches, and drafts communications; collects and analyzes statistics and other information. Prepares, edits and coordinates presentations.
Ensures on-target outcomes of the Administration budget (approximately $40k), tracking administrative expenses, performing monthly reviews, quarterly reforecasts and the annual budget submission. Procures various materials for department.
Reports on and liaises as needed to Harvard Library and external business, college and university libraries.
Anticipates team and administration needs and takes action proactively.
Acts as an integral member of a three-person team, helping as needed on projects and providing coverage for absences of other team members.
Handles complex and confidential administration of FTE and flexible workforce.
Coordinates all aspects of the staff life cycle. Orients new staff to KLS business administration, ensuring department-wide consistency.
In conjunction with FES team members, identifies and implements KLS training needs.
Guides vendor and independent contractor processes, including initial contract reviews and tracking. Coordinates technology compliance for security and access, hardware replacements, working closely with HBS IT.
Assists in positioning KLS externally for events and activities.
Independently determines arrangements such as speaker coordination, necessary publicity, operations-related details, and catering.
Stewards KLS internal share sites for organization and content.
Prepares and executes on KLS-wide special communications activities.
Performs other related duties as necessary
Reports to the Director, Finance and Enterprise Services.
Supports Executive Director, KLS, and Director, FES.
Works closely with KLS Finance Coordinator, HBS Human Resources, HBS Operations, HBS IT, catering and Harvard travel partners.
Liaises with HBS and Harvard Library staff.
