Student Account Representative

The Student Accounts Representative is the first point of contact for assisting students with their student accounts. Works closely with Admissions, Student Records, Financial Aid, Housing, Business Office and Special Programs regarding transactions pertaining to financial aid, tuition and fees. Performs a variety of accounts receivable functions for the Business Office related to student tuition and non-tuition accounts. Participates in college-wide events such as orientation and registration. Provides backup support for Oakland campus Student Accounts Office as needed.
REPORTS TO: Student Accounts Manager
DEPARTMENT: Business Office
∙ Providing main clerical support for the front counter.
∙ Responding to student inquiries via email, phone and in person.
∙ Assisting students with tracking, analysis and understanding of financial matters pertaining to registration of classes, adds, drops, withdrawals
∙ Assisting students with tracking, analysis and understanding of financial aid expected, credited and adjusted on their student account.
∙ Creating payment plans for tuition and fees on current and delinquent accounts.
∙ Assessing and applying late fees and other charges or adjustments to student accounts.
∙ Receiving and processing cash, checks ,wire and credit card payments.
∙ Creating, reconciling and preparing batches for bank deposits.
∙ Creating and evaluating student account activity and financial aid disbursements in preparation of issuing student refunds.
∙ Preparing monthly student billings.
∙ Preparing and sending communications for student accounts office.
∙ Assisting students with Perkins loan promissory note signing.
∙ Training of new staff.
∙ Assisting Student Accounts Manager in collection duties.
∙ Training and overseeing work-study students.
∙ Performing additional duties as assigned.
Prior experience in accounts receivable and heavy customer service is required. Position requires proficiency at data entry and experience operating a ten-key adding machine by touch. Ability to understand and apply best practice based on school financial policies, best practice banking policy and federal regulations. Must be team oriented and must have strong customer service orientation and good interpersonal communication skills. Must have excellent problem-solving, verbal and written communication skills. Must be an eager learner, extremely detail-oriented, accurate, organized, able to work exceptionally well under deadline pressure and with time sensitive projects, and be able to manage multiple priorities. Must be able to work and follow-up independently. Must be able to work effectively with a diverse student body, staff and faculty. Ability to follow and maintain process and policy surrounding sensitive and confidential information is a must. Familiarity with and ability to apply technological innovations to Business office operations with strong computer skills in MS Word and Excel. Experience using and supporting Datatel Colleague or similar ERP software preferred.
