The Department of Pediatrics is dedicated to improving the health of all children and adolescents by educating the pediatric and physician leaders of the future, advancing research, advocating for children and providing the nation's best primary and specialty pediatric clinical care. The Department of Pediatrics is the second largest department in the School of Medicine. In addition to the large number of faculty and staff, the Department encompasses twenty-one academic divisions and units determined by clinical subspecialty, such as pediatric cardiology, pediatric endocrinology, neonatology, general pediatrics /primary care, adolescent medicine, etc.
The Department of Pediatrics Division of General Pediatrics has an outstanding opportunity for a part time 50% OFFICE ASSISTANT 3 to support the Division's efforts supporting Journal of the American Medical Association Pediatrics. The position is expected to work approximately 20 hours per week. JAMA Pediatrics (formerly Archives of Pediatrics & Adolescent Medicine, and before that, American Journal of Diseases of Children) is an international peer-reviewed journal and is the oldest continuously published pediatric journal in the United States, dating back to 1911. JAMA Pediatrics is a member of The JAMA Network family of journals, which includes JAMA and 10 specialty journals. JAMA Pediatrics is published online weekly, every Monday, and in 12 print/online issues per year.
This position will perform a variety of complex clerical assignments in support of the Division and JAMA including using and maintaining existing record keeping and filing systems as well as establishing new systems as needed, monitoring and responding to inquires regarding JAMA and the Division, composing and editing correspondence and materials related to JAMA, as well as other duties as assigned.
Under general direction of the journal manager, this position will monitor submission of articles to the journal. Information about the articles must be entered in a Word file listing accepted articles and a running total of monthly accepted articles must be updated. This position will contact authors to request any necessary corrections or additional material as directed. A successful incumbent will independently note any less pressing problems which can be dealt with at a later time, i.e. when revision of the manuscript is requested or it is accepted for publication.
Regular and proficient use of the journal's online system of manuscript submission and review will be required to be successful in this position. Proficient use of the of the online system will include but is not limited to;
Use knowledge of the journal's manuscript types and each type's format to check the submission of new and revised manuscripts for adherence to the journal's requirements.
Noting problems in the MS record's terse notes on the web.
Checking of forms received on the web, including authorship forms and patient consent forms, requesting corrected forms if needed.
Assisting in running a weekly program to transfer eForms of published articles to
Additionally this position may use the online tools and systems to assist in transferring accepted articles to the publication office in Chicago. This will require making sure that all required forms have been obtained and all problems have been resolved.
This position will compose correspondence as directed. Typical correspondence may include;
Contacting potential reviewers selected by editors to request their help in reviewing.
Asking editors for additional reviewer suggestions as needed, until the desired number of reviewers has been obtained.
This position may assist in drafting decision letters, adapting form letters to fit particular circumstances.
This position will serve as the primary office support for the Divisions JAMA efforts which will include answering incoming calls and handling inquiries that are within the Office Assistant's capacity. The Office Assistant will be expected to use a high level of discretion when answering calls and inquiries and follow all policies and procedures regarding the release of information.
| High School graduation or equivalent AND two years of increasingly responsible clerical experience OR equivalent education/experience. |
Must be proficient with Word and Excel and have strong typing skills.
Must have excellent proofreading skills, and both written and oral communication skills. Must be proficient with web tools and online research skills.
