Under general supervision of the Director of Managed Care, responsible for all administrative support services for Managed Care and the UCSD Health Executive Building at 6363 Greenwich. Provides executive-level office management and administrative services to the Directors, Assistant Directors and Management Team. Manages and monitors internal workflow and audit processes for all administrative support functions within the department.
Assists Director with development, maintenance, monitoring, and review of budget reports and tools to provide fiscal oversight and monitor cost center budget goals. Utilizes a high-degree of autonomy in workflow prioritization to meet deadlines. Identifies opportunities, develops and implements initiatives to streamline workflows and processes for greater accuracy, efficiency and reduced cost to the organization.
Responsible for all aspects of personnel management for assigned direct reports. Encourages growth and development among staff and serves as role model in areas of appropriate work ethics and professionalism. Establishes and maintains positive relationships with internal departments and internal/external customers. Serves as Site Manager and primary point of contact for Senior Facilities Analyst on behalf of UCSD for facilities and property management at 6363 Greenwich. Manages complex projects and calendars. Performs other related duties and projects as assigned.
A Bachelor's Degree from an accredited program; or an equivalent combination of education and experience.
Three (3) years of executive-level administrative office management and support experience in a complex business environment.
Prior lead or supervisory experience. Strong demonstrated supervisory skills. Ability to determine departments needs and direct workflow.
Ability to determine training requirements, encourage employee development, and reward and discipline employees.
Highly proficient with MS Office (Word, Excel, PowerPoint, Outlook, Access). Proven ability to create complex spreadsheets and Word documents.
Demonstrated experience with complex calendaring, travel, and event planning.
Superior proofreading and editing skills to ensure accuracy and correct grammatical content of documents.
Strong composition, editing, and proofreading skills to review copy for appropriate style, consistency, format, completeness, errors, etc.
Skill to communicate effectively, diplomatically, and professionally, both orally and in writing.
Must be able to work various hours & locations based on business needs.
