What will you be doing?
In short, the position is responsible for the support of ancillary IT applications and users. You'll work closely with IT and Clinical teams in business process analysis, requirements gathering, system design and build, software testing, troubleshooting, and training.

The Senior Applications Analyst is both a subject matter expert and technical systems expert who possesses an array of cross-functional systems knowledge and support skills for applications used by multiple UW Medicine customer groups. The analyst's responsibilities span the entire lifecycle of UW Medicine clinical systems activities. The scope includes providing technical leadership and oversight for the groups working with the Ancillary and Clinical Support Systems. The position is also responsible for optimization and enhancement efforts including business process analysis, requirements gathering, design, system build, software testing, system troubleshooting, and training. This position will report to the Ancillary and Clinical Support Systems Applications Manager. The position is responsible for support of systems, applications, and users in a wide range of clinical specialties such as (but not limited to) cardiology, surgery, endoscopy, bronchoscopy, orthotics/prosthetics, otolaryngology, ophthamology, and anesthesia. Will also support clinical integration with acquisition and output devices, modalities, and support/administration of Electronic Whiteboard and other internally developed applications.
Define Customer Requirements, Analyze, Design, Build, Validate, and Implement (40%)
Obtain a thorough understanding of all aspects of the clinical applications in order to analyze, design, build/configure, validate, implement, and provide ongoing maintenance for all tools and system functionality.
Thoroughly document and understand end user workflows and how and how functionality supports these workflows.
May develop tools and/or collaborate using various tools to write custom reports for users and leadership.
May develop appropriate innovative solutions with sophisticated functions utilizing data integration tools with multiple sources.
Work with clinic practices to identify and document technical and business requirements for new applications, system changes, workflow changes, and other system design specifications that support clinic operations while maintaining team standards and allowing for sustainable long-term maintenance.
Design, test, and implement documentation systems as needed, including data interchange with other hospital-based systems.
Identify and analyze databases, project data, and reporting needs for current and future needs.
May evaluate and analyze data for accuracy, security and accessibility through regular consistency checks and error correction procedures.
Evaluate and implement management requests for information to generate reporting requirements.
Work closely with teammates to build functionality as defined by requirements analysis and documentation.
Leverage best practices and documentation provided by vendors and system Web and Community Library.
Test system changes and assist with development of test plans for usability, performance, and adherence to standards.
Provide functional expertise to optimize the design, configuration, and development of systems.
Act as a resource to UW Medicine staff by anticipating and identifying educational, procedural, and functional problems associated with the implementation of new applications.
Set appropriate expectations of customer requirement fulfillment.
Make recommendations regarding project intake requests and the setting of priorities for development and implementation efforts.
Highlight issues relating to system integration points between other applications or interfaces.
Document current and proposed data flows, both within applications and interactions with other systems and interfaces.
Identify need for and document support plans.
Assist with and document the development of standard IT operational procedures.
Participate in computer system validation activities.
Participate in the validation of applications within a custom development, vendor packaged, and FDA regulated system environment.
Author the validation plan, user/functional requirements, system/application design specifications, and Validation Summary Report.
Lead validation process in the test management system (e.g. HP ALM) which includes verifying requirement coverage, authoring test cases with input from project team, executing test cases including coordination of user acceptance testing, and generating defect reports and trace matrix.
Document and follow the standard processes for Ancillary Change Review as well as enterprise change control procedures.
May create and document custom scripts to automate routine computer operations and configurations.
May work with other teams to implement databases including coding of data structures and data transformation.
Liaise and Communicate with Clinical User Groups (25%)
Provide at the elbow support to system users during their go-live phase, including direct provider support during patient encounters.
Provide supportive and positive mechanisms for reporting application and system deficiencies, and facilitate reporting of suggestions for system improvements.
Using quality improvement principles, monitor system impact on user and departmental workflows, and incorporate results into system enhancements.
Attend or lead user advisory committees as required.
Act as a liaison and/or facilitate communication between end users and vendor as appropriate.
Work with internal customers to provide diagnostic assistance and resolution to questions and problems. This includes assisting user groups with submitting issue and problem reports and routing system problems to other UW Medicine IT Services teams.
Maintain clear and consistent communication with all levels of users regarding changes to systems.
Act as central point of contact for best practices and use knowledge of department's clinical and business processes to translate clinical methodologies into specifications, documentation, and project plans.
Provide oral and written communications to end users and other ITS cross functional teams in a professional manner that focuses on ensuring clear communications and addresses the needs of the recipient.
Promote and champion clinical applications support while meeting Service Level Agreements with key customers.
Actively manage user relationships to analyze, plan, prioritize, complete follow-up project work, and other requests as assigned.
Create and maintain a service-oriented relationship with customers at all levels of the organization.
Be knowledgeable about ITS systems in order to train, troubleshoot and support the efficient and effective use of key systems.
Responsible for ensuring service requests are completed in a timely manner to the satisfaction of customers. This responsibility requires coordination with all resources needed to accomplish the request either directly or through delegation.
Monitor and Maintain Systems (15%)
Track and prioritize SDM tickets in the Ancillary and Clinical Support Systems queue.
Coordinate required testing of change requests and trouble tickets using standard methodologies
Collaborate with the Ancillary and Clinical Support Systems Applications Manager to plan, develop, and implement standard application support processes.
Provide 24X7 user support of the assigned clinical applications.
Work with all required (intra and inter-departmental) personnel to define and manage changes to system reference data and to ensure data integrity and information flow.
Enforce technical and functional standards.
Maintain general knowledge of vendor application architecture as it relates to the UW Medicine's systems environment as well as any new or modified vendor solutions that could benefit our organization.
Assist in resolution of application and process problems.
Perform analysis and troubleshooting for complex application issues to meet established Service Level Agreements.
Maintain issue tracking (both internally and with vendor) and follow issue tracking policies and guidelines.
Work with vendor to set clear problem resolution priorities.
Support less experienced teammates on proper issue tracking and resolution policies and procedures.
Project and Process Management As Required (10%)
Operate internal systems that maintain and improve the effectiveness of the application support function. This includes ensuring the following:
- Apply standard methodologies for initiating, monitoring, and completing IT projects and enhancements that meet expectations of scope, schedule, and cost.
- Adhere to appropriate status reporting and communication mechanisms to highlight progress, plans, and issues.
- Inter-team coordination of resource requirements.
Support the enhancement cycle efforts, including identification of those enhancements requiring formal project management.
Perform project management and administration for assigned projects for timely completion.
Coordinate team projects.
Collaborate with Project Managers, Managers and Directors to assist and support projects through production readiness, conversion support, and turnover to operations.
Track and provide regular status updates to management, customers, and stakeholders on progress and obstacles.
Actively manage daily work and problem assignments to ensure balanced workload allocation.
Actively seek out and contribute to process improvement efforts.
In conjunction with the Ancillary and Clinical Support Systems Applications Manager, recommend appropriate staff and material resources for support and projects.
Monitor resource requirements across production and project activities and make adjustments.
Support appropriate participation by clinicians in project activities.
Provide input to quarterly reports on resource utilization and trends.
Responsible for the successful completion of project tasks.
Lead project sub-components that may include work with cross-functional teams.
Report progress on assigned tasks to project manager or other designated lead/manager.
Track detailed status of each task and work with lead, project manager, or supervisor should tasks vary from initial resource estimates.
Perform, track, and report results of application and system testing.
Work with designated lead, supervisor, or project manager to prioritize tasks.
Create project documentation.
Team Leadership and Planning (5%)
Provide functional and technical expertise to staff.
Ensure compliance with security and confidentiality requirements.
Work with team members to ensure good communication.
Provide Ancillary and Clinical Support Systems Applications Manager with feedback regarding team training needs.
Participate, as required, in research, planning, evaluation, selection and implementation of strategic systems.
Vendor Management and Other Duties (5%)
Provide ongoing management of vendor relationships.
Track open issues for resolution and routinely report on status.
Provide oversight to vendor resources assigned to production work, including planned and unplanned outages, project work, and issue resolution.
Assist with special projects (i.e., hospital improvement committees) and other data needs as assigned.
Coordinate system information requests and incident reports, including flow, tracking and prioritization.
Participate in system management tasks including performance reporting and planning.
Assist with development of security and confidentiality system standards for applications to meet federal, state, CMS, and JCAHO regulations.
Follow UW Clinical Applications build standards and change control processes, with a focus on enterprise build and long-term system maintenance.
Work with manager to set professional goals for career development.

UW Medicine IT Services responds on a 24 x 7 basis, to maintain operational performance at 99.9%.
Requires participation in on-call rotation for application/system support.

Requires the ability to travel to off-site locations to meet time-sensitive customer needs, including Harborview Medical Center, University of Washington Medical Center and Seattle Cancer Care Alliance.
