Scholarship coordinator for the University Foundation, Office of Admissions, and all University departments. Serve as the main point of contact for all University departments utilizing the automated online scholarship process. Work with the U Promise Scholarship, for the Twin Cities campus. 40%
• Assist Foundation, departments, Admissions, and outside organizations with scholarship related questions concerning:
o Review student financial records to check for level of need.
o Problem solve for scholarships that have not paid, and assist with other related financial aid questions.
o Foundation Scholarships - Organize all incoming applications and application documents. Maintain database of applicant pool. Review applications to ensure qualifications are met. Present application pool to committee members, helping to make final award decisions. Assist in the editing of scholarship applications. Oversee any communication sent out to students in terms of missing materials or award decisions. Organize scholarship data and work with Printing Services to produce and mail certificates to students who receive University Foundation scholarships. Assist Office of Undergraduate Education staff with their online scholarship application management.
o PeopleSoft Scholarship Processing - Serve as the main point of contact for all departments. Assist departments with access and the setup of roles within department. Provide guidance for questions related to system, security, and function. Work with departments when aid has not paid to student: research the cause and solution. Monitor all incoming department waivers for students and request force payments of funds. Provide assistance in testing the automated system by developing test instances through data entry and batch development. Screen incoming phone calls; respond to all emails sent to the SAOSF email address.
Work on correcting individual student awards that fail to post in automated system.
o Work with the Office of Admissions assisting with all scholarships that have not successfully posted to student accounts. Route student inquiries of Admissions scholarships to their appropriate staff.
o STAR (Scholarship Tracking and Reporting) tool in DMS – Serve as OSF contact for scholarship processing questions.
o Online Scholarship Application tool - Serve as the main point of contact for colleges. Setup initial ‘administrator’ role for the college. Provide guidance for questions related to system, security, and function. Assist colleges with questions related to functionality of the application tool. Provide individualized training to administrators upon request.
o Promotional Scholarship/Undergraduate Scholarship Search - Serve as the main point of contact for all departments. Assist departments in the implementation of the program, and the setup of roles within department. Provide guidance for questions related to system, security, and function. Assist One Stop with student questions related to Scholarship Search tool.
o Assist with monitoring UROP and Great Lakes Internship Grant programs
o Serve as contact for scholarship donors. Work with donors to review of student financial and academic records. Maintain close communication with donors to ensure prompt delivery of scholarship recipient lists.
o Maintain current procedures for assigned programs and processes on ASR Policies & Procedures web page
Process scholarship awards, reports, and manage workflow in Imaging. Assist One Stop staff with scholarship related questions. Complete need analysis forms and assist with reconciliation of scholarship accounts when Fiscal Unit requests additional research. The processing percentage may vary throughout the year. 25%
o Manage automated daily/weekly queries (SF Transaction, Over Award, CSOM Offset, Loan Fees, No Disbursement, and other reports).
o Assist One Stop personnel with scholarship related questions via phone, email, or in person. Take ownership of situation when appropriate, or help to find a solution through another party.
o Work on correspondence, applications, and scholarship checks found in Imaging workflow.
o Assist in the entry of all incoming scholarships from outside donors in high volume times. Contact donors if needed with questions or concerns regarding scholarship checks or individual awards. Send receipts to donors if requested.
o Serve as back-up to main outside scholarship contact to:
• Assist outside donors when aid has not paid due to student not meeting minimum enrollment status. Initiates return of refund check to donors.
• Complete need analysis, budget, and enrollment verification sheets for outside donors.
• Assist with processing incoming scholarship letters from outside donors, putting on estimates if appropriate
Advise students, parents and staff about scholarships and other financial aid issues through student appointments, e-mails, faxes, phone calls, etc. Assist in the training of new employees. Problem solve complex scholarship issues. The student contact percentage may vary throughout the year. 20%
Assist in the processing of athletic financial aid. Work a minimum of 2 hours per week at the Bierman Athletic Field Building and act as back up when the athletic coordinator is out of the office, which includes functional coordination of athletic financial aid programs. Responsible for the coordination of athletic financial aid to ensure compliance with federal, state, institutional, Big 10 and NCAA scholarship rules and regulations. Understand and implement program guidelines and policies set by the institution, state, federal, Big 10 and NCAA. Comply with all applicable NCAA rules and regulations as provided in the NCAA Division I Manual. 10%
