Administrative Assistant provides administrative support to the ACS Division of Polymer Chemistry (POLY) Executive Board, staff, and other committees to achieve the goals of its approximate 4,500 members. This position provides web and publicity support to the Division by creating, updating, and circulating basic web pages, e-news, paper newsletters, and social media posts, and assists the awards committee to publicize award program, collect nomination packets, prepare plaques and posters for events, and keep good connections with sponsors.
Additionally, the position supports POLY workshops by creating media, assisting in the pre-meeting tasks, shipping and ordering material, and providing post-meeting follow-up. In an effort to connect with the membership directly, this position will process new member applications, create the POLY newsletter, mail items via US mail, maintain on-line calendars, and circulate graphical abstracts to members and libraries. Travel is required to meetings throughout the U.S. to provide administrative support 2-4 times annually.
- Proficiency with software such as MS Word, Excel PowerPoint, and Outlook.
- Experience such as circulating/creating newsletters, web pages, e-news, Facebook, Twitter, and LinkedIn.
- Excellent communication skills, and ability to work with a high volume of customers.
- Must be able to travel by air 2-4 times annually and physically be able to pick-up boxes of varying weight, and set up registration booth.
- Experience with newsletter software, Photoshop and/or Adobe Indesign.
- Knowledge of LCD and other meeting equipment.
- Experience working with hotel set-up or creating banquet orders.
- Experience with USPS bulk mailings and FedEx shipping.
