Minimum Qualifications: Associate's degree and 3 years progressive administrative secretarial experience or equivalent combination of education and administrative office experience required. Excellent computer, organizational, written/oral communication, and interpersonal skills required. Ability to personalize tasks and maintain a confidential environment required. Experience working in an executive office environment preferred. Prior experience developing a paperless office environment strongly preferred.
Job Standard / Operational Needs: The Office Automation Specialist will primarily provide support to the President's Office and will develop and maintain paperless office and automated work flow procedures, including but not limited to an electronic recordkeeping and filing system. Performance of duties requires the ability to multitask and complete highly confidential assignments.Provide administrative support for the Office of the President which includes the handling of highly confidential information. Manage, update and organize the Office of the President filing system; work toward a paperless environment. Work with IMT department to develop/set up appropriate e-filing system that will allow for an organized document repository with simple features for searching, e-filing, converting to PDF, etc while maintaining appropriate security levels to access files. Scan and e-file executed correspondence and other documents; retrieve documents upon request. Identify office and work flow procedures and processes that can be streamlined and recommend new approaches to optimize efficiency. Work towards automating repetitive processes, both within the President's Office or for processes requiring approval by the President. Work with the President, Chief of Staff and other office staff to analyze, prioritize and organize work flow improvement activities within the Office.Additional duties as assigned.
