Under minimal supervision, the Executive Assistant provides administrative support and assistance to executive staff members. This role requires a high level of independent judgment, and decision making in non-routine matters, as well as access to highly confidential information. Ability to multitask and problem solve in the absence of direct supervision while remaining patient and calm in high stress situations and emergencies.
Screen, direct, and respond to inquiries from internal and external visitors, phone calls, email, etc.
Manage and maintain executive schedules, appointments and travel arrangements, arrange and coordinate meetings, conferences and events.
Produce, edit, and compile reports, correspondence, communications, presentations and other documents.
Create and process requisitions for capital improvements, major construction projects, and operating funds of facilities. Evaluate vendor requirements to conform to Kirkwood policy
Receive, validate, record, and forward to Finance all appropriate invoices and financial records.
Coordinate, lead, participate, and prepare for project based work as needed.
File and retrieve documents and materials. Conduct research and analysis on data and information.
Attend meetings while providing support with set-up and preparation of documents and materials.
Coordinate department and capital improvements budget.
Perform other related work duties as assigned.
Associate's Degree or Office Assistant Diploma plus 1-3 years' experience
Computer skills, knowledge of standard computer software and office equipment required
