The primary areas of responsibility for the Controller are the following.
Budgeting, Financial Planning, and Reporting
Develop and implement annual operating budget in alignment with School mission, principles, and goals. Prepare accurate and timely financial reports, including the monthly financial statements and highlights, the dashboard, updated forecasts, etc. Prepare the annual audited financial statements in conjunction with the external accounting firm. Provide the structure and framework for the three-year financial planning process. This includes providing financial modeling tools and historical data to assist in planning and decision-making.
Serve as the staff liaison for the Finance Committee of the Board of Trustees. Partner with the Executive Director and Chair of the Finance Committee to develop and deliver financial reports, analysis, and documents which communicate the overall financial health of the organization. Attend other committee and Board meetings as determined by the Executive Director.
Administer and manage the School’s benefit offerings in both a competitive and cost effective manner. Maintain complete, secure, and confidential human resource related files and records. Prepare all faculty, staff, and independent contractors contracts and letters of agreement on an annual basis. Process payroll in a timely and accurate manner on a bi-monthly basis. Ensure timely communication and access of year-end tax documents for all employees and independent contractors. Update faculty and staff handbooks on an annual basis.
Accounts Receivable, Registrations, and Accounts Payable
Prepare all invoices in accordance with established payment policies and pricing. Ensure timely collection of all open invoices in accordance with tuition/refund policies. Process all student registrations and maintain school database with accurate student, course, and financial information. Ensure timely and accurate processing of all vendor invoices, annual dues, and expense reports.
Protect the School through the maintenance of adequate and comprehensive insurance coverage. Ensure compliance with various state and federal regulations and annual reporting. Recommend operational and policy changes for risk management purposes.
Tax Reporting and Compliance
Prepare the required schedules and information to ensure an accurate and timely filing of the School’s 990 form. Ensure timely reporting of all withholdings, worker’s compensation reporting, etc. for all states where we have employees.
Cash Management and Banking Functions
Ensure timely reconciliation of all bank accounts. Ensure adequate controls over the processing of all bank transactions, including safeguarding documents, etc. Ensure adequate controls and reporting on all School credit card accounts.
