Description GENERAL CONTRACTS ADMINISTRATOR, SR. – FACILITIES – DIVISION OF ADMINISTRATION The Senior General Contracts Administrator – Facilities performs professional administrative work to draft, review and edit requests for information and proposals, design and construction/renovation contracts, professional service agreements, building and maintenance service agreements, and vendor supply purchase agreements in support of Campus Planning and Construction, Plant Operations, Sustainability and Environmental Management, and VU Real Estate. The position is an administrative team member of the Facilities Business Operations Center ("BOC") reporting to the BOC Director. Facilities annual budget exceeds $100 million in operating expenses and includes over 400 employees. Facilities manages major capital project expenditures totaling ~$125 million annually and facility renewal, replacement and large maintenance project expenditures totaling ~$20 million annually. The Contract Administrator interacts with a wide range of personnel within Facilities as well as the General Counsel's office, and the Procurement and Disbursement offices. Key functions and expected performances: · Draft, review and edit requests for information and proposals and contracts for design and construction/renovation; professional services; central utility plant, building, and grounds maintenance services; and vendor supply and central storeroom purchases · Develop, prepare and/or tabulate bid results and summaries · Prepare contract supporting schedules and compiles total contract document materials · Ensure the accuracy, completeness, and integrity of contracts and agreements and supporting schedules in preparation for finalization and execution · Participate in the development and modification of procedures that affect immediate operations and may have institution-wide effect · Prepare schedules, documents, and presentations to support senior and operational management reporting needs · Review and update existing contracts/agreements including change orders · Initiate purchase requisitions using university's ERP Procurement system · Maintain schedules of applicable due dates and timelines in support of project management needs; follows-up as applicable · Maintain digital and physical storage and retention of project files in a systematic and organized manner to ensure staff's easy access to and retrieval of applicable information and documents · Ensure compliance with university policies for the procurement of parts and supplies and contracting for project related services · Ensure deadlines and conditions described on contract documents are met · Provides technical assistance in developing standard and appropriate use of language on RFI's, RFP's, and contracts · Facilitate contract closeout process when all terms and conditions of the contract have been met · Ensure all payments have been made · Create and support a climate of trust, openness and honest communication · Proactively accept responsibility and performs expected and unexpected tasks · Identify and pursue opportunities to optimize effectiveness · Contribute to the achievement of objectives and goals for the organization · Recognize and accept additional responsibilities to support Facilities by assisting with increased workloads, sharing expertise and specific knowledge, preparing for scheduled absences and delegating appropriately Preferred skills and experience: · Bachelor of Science degree or equivalent · Four years required time in field previous to employment · Demonstrated ability to work as a team player and to effectively interface with all levels of staff, managers and external parties · Understanding of document management and retention processes and systems · Demonstrated ability to think creatively, analytically and critically · Strong written and oral communications skills, including the ability to engage and communicate effectively with staff, peers, and other university and outsid
