Procurement Services has an outstanding opportunity for a Program Operations Specialist. Reporting to the Procurement Services IT Senior Program Director, the Program Operations Specialist will contribute to the Procurement Services Culture of Service, focused on delivering value for others inside and outside the organization and across the University through customer service, operational effectiveness and employee satisfaction.
Duties and Responsibilities: CATALOG IMPLEMENTATION
Schedule calls and meetings with supplier technical teams.
Configure supplier in Ariba Buyer modules.
Download .cif file, remove errors, and load manual catalogs.
Establish connectivity to supplier managed catalogs(punchouts).
Inspect punchouts for standards compliance and ease of user functionality.
Formulate and conduct tests of punchout catalog functionality.
Track and follow up on punchout issues with supplier. Follow up issues to resolution.
Download and format catalog .cif file. Remove errors and load into UW-managedsupplier(hosted)catalogs.
Test invoicing processes associated with catalog selections and purchases. Responsible for: Developing and maintaining test use cases, regressions testing, integration test scripts Regressions and integration testing in Evaluation/test environment Migration of catalog changes and new catalogs to Production (including change management) Full end-to-end testing in Production post-deployment of new features/catalogs

Add Commodity Codes
Maintain catalog hierarchy
INCIDENT/REQUEST TRACKING AND TROUBLESHOOTING
Troubleshoot technical issues related to Ariba Buyer modules
Escalate issues to Ariba admin team as needed
Provide updates and solution to Procurement Customer Service (tier 2 technical support)
INTERFACE WITH ARIBA DESIGNATED SUPPORT CONTACT (DSC)
Work with Ariba directly to log, escalate and track problem resolution: o Log support requests with Ariba on behalf of supplier and UW. o Communicate solution to supplier, UW Procurement Services and UWIT teams as appropriate. o Test solution with supplier.
NEW SUPPLIER ENABLEMENT
Manage and track supplier tasks required to onboard new suppliers.
Email suppliers that have not completed all onboarding tasks.
Change supplier numbers and other information as needed
Fix issues with suppliers (sometimes requiring a delete of vendor and starting over)
SUPPLIER ONGOING INTEGRATIONS Define, request and manage projects with Ariba and Procurement teams. Attend Ariba and UW user meetings and validate new supplier integrations (requisitions/purchase orders/invoices/receipts/reconciliations/other)
Formalize project requests and track with Ariba
Attend project meetings (Ariba and the supplier) and report status o Coordinate testing depending on what supplier is integrating (purchase order, blanket purchase order, invoice, etc.)
Formalize all test results
Coordinate all approvals for moving update to Production
PROCUREMENT SYSTEMS DATA MANAGEMENT AND REPORTING 25%
Manage the ERD and documentation provided to end-users of procurement data from Ariba and other systems. o Assist in developing PowerBI scripts and reporting. o Migrate legacy reporting from many older systems to centralized procurement and financial planning data warehouse (under development).
Deliver regular status reporting to internal and external stakeholders on catalog/supplier/supplier changes

Bachelors degree Minimum three years of experience which demonstrate:
Experience with catalog lifecycle management
Consistent attention to details and accuracy of work
Proficiency with MS Office including basic skills for Word and PowerPoint, advanced Excel skills
Resourcefulness in problem-solving
Ability to recognize issues requiring escalation
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
Ariba catalog management, both punch-out and hosted Experience with PowerBI Experience with other reporting tools
