Support the Global Head of Internal Audit and the wider team
Be part of the Risk Management Group within Macquarie and provide support to the Internal Audit division. This is a stand alone role where you have an opportunity to be part of the team.
Key responsibilities will include:
Providing Executive Assistant support to Global Head of Internal Audit; including, extensive diary management, dictation typing, travel coordination, projects and assisting with communications to the broader team;
Diary management for Head of Internal Audit ANZ
Processing AMEX, personal expenses for Head of Internal Audit and Head of ANZ
General office support including taking and screening calls, filing and archive management;
Assistance in preparing Board papers;
Managing the invoice and expense approval process
Coordinate approvals processes;
Preparation of PowerPoint presentations;
Providing ad-hoc support to the Internal Audit team;
Coordinating new starter process for new recruits and transfers; including, ensuring that HR documentation, equipment and relevant access is provided and scheduling training and induction schedules;
Coordinating HR information for recruitment purposes;
Organising team meetings, management team meetings, conferences and events; and
Ad hoc office and building management duties (e.g. allocating lockers to new staff, liaising with building management regarding floor maintenance etc.)
To be successful, you will possess:
5+ years in a similar role;
Strong time management and prioritisation skills;
Experience managing emails, tasks and deadlines for Senior Executives;
Strong Microsoft Office skills and the ability to adapt to new systems and technologies;
Ability to maintain confidence and sensitive matters professionally;
Effective communication skills and ability to escalate and take action where necessary; and the
Ability to work with multiple stakeholders and manage all expectations.
