California State University, Fullerton is searching for an Administrative Programs Manager for the AVP Capital Programs & Facilities Management-Administration department. The Administrative Programs Manager should have a positive attitude, an active, energetic mind, and a leadership style that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.
Manages a variety of programs for the office of the AVP for Capital Programs & Facilities Management (AVP CPFM), including staffing and position management, employee development and training, travel, customer service, communications, and the administration of the AVP's office. Responsibilities assigned to this position require considerable initiative, independent judgment, diplomacy, discretion, confidentiality, and the ability to interpret and communicate complex policies and procedures, manage a variety of administrative functions and responsibilities and provide recommendations to ensure responsiveness to internal and external constituents. Performs research, analysis and prepares reports, oversees and tracks projects and programs; and prepares and oversees operational budgets and budget documents. Establishes and maintains guidelines and monitors compliance with policies and procedures. Communicates with other campuses and organizations on behalf of the AVP and represents the AVP and the campus at meetings as needed. Participates with management team in the development, implementation and administration of department, divisional and campuses processes and procedures. Works under general direction following established policies and procedures.
In collaboration and consultation with campus-wide Human Resources, Diversity and Inclusion, provides the AVP with support on grievances, complaints, collective bargaining processes and other personnel matters. The incumbent will regularly handle confidential correspondence and issues related to HEERA issues, appropriate use of university resources, staff discipline, and related issues. Performs other duties as assigned.
Bachelors degree from an accredited four-year institution and/or the equivalent training and administrative work experience or the equivalent involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs. Experience interpreting complex policies and procedures and communicating them. Ability to identify and analyze issues and develop, recommend, evaluate solutions, and prepare reports. Excellent organizational and multi-tasking skills. Ability to maintain confidentiality of information and documents utilizing judgment, diplomacy, and discretion. Ability to work independently and as a team member. Ability to communicate effectively with individuals at all levels of the organization. Experience managing and coordinating large and/or small events. Skill in preparing visual and written presentations and materials. Skill in using a computer to complete work functions. Ability to write in a manner that is appropriate to the audience. Ability to maintain professionalism in order to represent the Office of the Associate Vice President for Capital Programs & Facilities Management. Proficiency using standard office software packages (e.g. Microsoft Office Suite), including Word, Excel, Outlook, and PowerPoint.
