This is a part time position-approximately 20 hours per week
The Division of Development and Alumni Relations is dedicated to advancing the mission and vision of RIT. Strategically critical to achieving the university’s goals, the Division of Development and Alumni Relations nurtures lifelong, mutually beneficial relationships with alumni, parents, friends, faculty/staff and organizations resulting in deeper connections, greater volunteer engagement and increased philanthropic support. We are a team-oriented, highly collaborative Division working with all areas of the university to maximize fundraising opportunities and alumni involvement.
The part-time Staff Assistant works efficiently to support the day-to-day needs of the APAGP team, with special focus on the Leadership Giving team and Executive Director of the Alumni House. Responsibilities include managing expenses, reports, correspondence, and providing phone support in Alumni Relations. This position will also provide back-up coverage for the team’s support staff.
Provide primary support for the Leadership Giving team and the Executive Director of the RIT Alumni House.
Manage budget for supported teams, including travel reimbursements, procurement card administration and other expenses.
Create and run reports, including allocation and prospect management reports.
Create solicitation cards when necessary.
Complete team letters, including acknowledgments, pledge reminders and renewals.
Provide back-up coverage and assistance for APAGP support team.
Provide phone and in-person support to the main Alumni Relations number.
Provide alumni programming-based event support: includes assisting with call-in registrations, producing nametags, walk-in registration post event for paid events, and preparing lists for coding by the Advancement Information Services team.
Answer general inquiries, prepare and mail general correspondence and community outreach to general alumni population as needed.
Back up for assisting with online registration and fielding event inquiries; gain familiarity with general RIT alumni inbox, researching answers and providing feedback to inquiries.
Assist with management of the Events Calendar and coding procedures.
Associates degree OR HS diploma with 2 years experiences
Ability to manage multiple tasks
Ability to work independently and in a highly confidential environment
Able to problem solve, take initiative on projects, organize multiple projects simultaneously, meet deadlines, and adapt to ever-changing priorities
Advanced-level user of MSOffice including Word, Outlook, Access, Excel and PowerPoint
Familiar with accounting principles and practices
Flexible work schedule; some evening and weekend hours required; Part-time hours
Professional attitude, appearance, exhibiting tact, enthusiasm, persuasion and judgment in interactions with others
Strong organizational skills and high energy to work in a fast-paced office
Writing, editing and communication skills
Familiar with higher education environment General understanding of development and alumni relations arena Experience in administrative or executive assistant role Experience in highly technical office environment
