Reporting to the Director of the Advising Programs Office (APO), the Program Coordinator works collaboratively with the other members of the APO team on programs that serve the academic advising mission of Harvard College. The Program Coordinator provides a wide range of administrative support to the program and is expected to work autonomously and in partnership with the Program Administrator to translate the leadership team's ideas into working plans, taking concepts to design and implementation, and running the logistics of programs from beginning to end. Responsibilities include:
Supporting the department's workflow and annual calendar; tracking, monitoring, and guiding the programs' timelines and goals
Working with the program administrator to facilitate logistics for advising events, such as trainings, orientations, workshops, and receptions
Making appropriate arrangements and providing administrative support for meetings, workshops, and orientations coordinated by the APO
Implementing APO social media and digital strategy in collaboration with program administrator
Implementing print and electronic design work including announcements, publications, web design updates, as well as video and media content development in collaboration with program administrator
Coordinating all information technology, telecommunications, and audio/visual hardware and software needs for the Office
Editorial assistance for office communications including proofreading and advanced formatting for documents such as memorandums, reports, etc.
Maintaining all APO databases
Ordering all supplies and office equipment, making sure that all office staff have the administrative resources they need
Processing financial transactions such as: vendor requests, reimbursements, and invoices
General upkeep of the office, particularly after events hosted by the APO
Sharing some receptionist duties with our neighboring office
Other duties as required
Periodic before/after hour event staffing may be needed

Three or more years relevant experience in an office environment. Experience with Microsoft Office and Adobe Suite are required.
Bachelor's degree preferred. Three or more years administrative experience in an academic setting preferred. Excellent organizational, project management, prioritization and interpersonal skills. Capacity to function effectively in a collaborative office environment; ability to work independently and as part of a team; ability to collaborate effectively with students, faculty and staff. Ability to handle complex and confidential information with discretion. Ability to set priorities and multi-task, and attention to detail essential. Familiarity with web design, writing for the web, as well as video and publication production and editing skills preferred. Competency using a variety of computer software, particularly Office, Access, Excel, and Adobe Suite essential; in addition, Harvard-specific programs such as PeopleSoft, Oracle Financial Applications, and Event Management System preferred. Ability to learn new software as required.
