Rutgers, The State University of New Jersey, is seeking a Senior Administrative Assistant for The University College Community (UCC). This position reports to the Director and Dean of University College Community as part of the Division of Undergraduate Academic Affairs, the Senior Administrative Assistant (SAA). The Senior Administrative Assistant provides administrative support to unit management by coordinating the administration of programs, projects, and/or processes and by organizing and coordinating unit operations. Among the key duties are the following:Prioritizes work, resolves routine conflicts and issues, and prepares and implements administrative guidelines and procedures for unit.
Provides routine and non-routine information and explanations to clients.
Creates informational materials; provides general unit supporting research, analysis, and proposal data; prepares, processes, and controls records, statistics, reports and documents; and/or performs some fiscal support functions.
Schedules appointments, arranges and coordinates design and logistics for events and meetings, and completes other work consistent with a broad understanding of the mission, vision, role, and goals of the administrative, academic, or research unit, and the tasks and responsibilities of the SAA in the achievement of unit goals.
Serves as liaison within and outside unit. Works under general supervision, within established work parameters.
Carries out routine and non-routine tasks with occasional review of work outputs.
Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of unit administration.
Maintains confidentiality with regards to student academic issues and records, finalizes correspondence to students and faculty, and maintains electronic files.
Provides support in collecting data for longitudinal statistics for divisional reports.

Required Knowledge, Skills, and Abilities:Must possess excellent interpersonal skills; written and oral communication skills; problem solving skills; and organizational skills.
Must have demonstrated proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint, Publisher, etc.), database management, learning management systems, video/calls/conferencing, and email applications.
Must possess the ability to attend to multiple concurrent tasks.
Must have sufficient knowledge of university operations to establish and maintain appropriate priorities.
Must be detailed-oriented and possess excellent knowledge in grammar and proofreading necessary for all correspondence, reports, electronic publications and web-content.
Must be familiar with university procedures, including expense reports and cash transmittals, and with web-based university systems, including Sciquest/Marketplace.
As the principal point of contact , must have excellent interpersonal skills and the capacity to deal with a broad range of academic and administrative issues.
