We have an exciting opportunity to join our team as a FGP Sr Medical Secretary (35).
In this role, the successful candidate Responsible for providing basic support services for Medical Office intake operations in the Department of Neurosurgery. Assist with post-visit inter-departmental scheduling for visits, treatments, surgeries, and procedures in collaboration with other areas within the Medical Center, specifically as it relates to Surgical and/or infusion procedures and scheduling. Obtains pre-authorizations/certifications for treatments and diagnostic procedures as appropriate. Provides guidance to less senior staff and assist with completion of special projects, reports and activities as requested. Register and schedule patients in the appropriate IT system, organize daily patient schedules, triage incoming patient reports to appropriate locations, book faculty travel and organize faculty calendars, answer phones, prepare billing information for billing services, facilitating physician and patient administrative needs.
- In addition to the overall position summary, responsible for booking surgical procedures:
a. Assuring patient has correct pre-testing dates, times and location,
b. Coordinating surgical procedure, and dates with NP/PA.
c. Booking in Op-time Assuring all assisting/co-surgeon information is documented, and has been booked with physicians office.
d. Obtaining procedure codes and instrumentation needed for booking surgery. Booking sheet filled out by physician.
e. Setting up all pre-testing and if needed, medical clearance or any further clearance needed if requested after pre-testing and prior to required surgery.
f. Following up on all results and of testing required prior to surgery
g. Responsible for accuracy of surgical and pre-testing details entered into Epic and sent/email to patient.
- a. Maintain surgical and Office Visit calendars for a given physician
b. Maintain physicians administrative calendar
c. Open physician/departmental mail in a timely fashion.
d. Edit physicians consult letter in WQ and mailing them out.
e. Clear scheduling WQs in a timely manner.
- Other duties as assigned.
To qualify you must have a High School diploma. Three years of relevant medical clerical experience. Must include prior physician practice experience and knowledge of medical terminology. Background in computer literacy preferred. Light, accurate keyboarding skills required.
Excellent organizational, interpersonal and communications skills required.
Knowledge of computer-based scheduling and appointment programs. Excellent telephone and communications skills. Knowledge of EPIC is a plus.
Qualified candidates must be able to effectively communicate with all levels of the organization.
