About the role
We are currently seeking an experienced Executive Assistant / Board coordinator to provide a high level of support to the Macquarie Atlas Roads (MQA) team - an ASX listed company, in Sydney.
You will be responsible for, but not limited to:
extensive diary management - including arranging meetings, booking meeting rooms, setting up conference calls with internal/external parties, managing conflicts and following up on all required paperwork prior to both internal and external meetings
acting as MQA Board coordinator and managing the Board process including updating agenda, sourcing board papers from the team and compiling packs
liaising with Board directors on board meetings and papers, and travel arrangements, as required
organising Annual General Meetings, Financial results and other market events in line with the reporting requirements of a public company
making market releases on the Australian Stock Exchange
coordinating and responding to shareholder and investor correspondence/calls through the investor mailbox and hotline, as well as recording all investor enquiries/meetings though online systems
updating the MQA website
planning and coordinating investor roadshows and preparing investor briefing materials
booking and scheduling international and domestic travel - including coordination of approvals, preparation of itineraries and logistical arrangements
liaising with off-shore offices and clients
maintaining client contacts and database
providing assistance with preparation of reports, presentations and other documents using the Microsoft Office suite 2013
processing of invoices and expense claims for payment, including organising authorisation of claims adhering to expenses policies and procedures
networking and liaising with clients and/or client EAs and peers internally and externally
answering telephones and taking responsibility for follow up actions
managing electronic document and paper files following Document Management procedures
maintaining orderly and tidy workspace
collating daily media clips and circulating to team
managing training hours for the business, recording training hours for executives
mail sort and collection
maintaining attendance and gifts registers.
To be successful in this role you will have:
Five years plus experience in an investment banking or ASX200 corporate environment or similar role
Reliable and stable work history
Strong organisational and time/priority management abilities
High level of attention to detail
Advanced level of skill and knowledge in Microsoft Office 2013
Confident, professional telephone manner
Ability to solve problems and demonstrate initiative
Strong customer service focus
Ability to liaise and communicate on all levels
Background and/or interest in finance industry highly regarded.
Must enjoy working with people in an open plan team environment
Confident and personable
Must be able to communicate in a clear and articulate manner
Must be self-directed and proactive in managing the team
Must be able to demonstrate a flexible attitude, working additional hours if and when required
Needs to have the drive to probe for additional information to solve problems
Ability to work under pressure and meet deadlines with limited supervision, setting own goals and objectives to support broader business objectives
Focus on customer and client needs, setting high standards for quality and consistency of output
Follows instructions and procedures, keeps to schedules and demonstrates commitment to the team
Flexibility around working hours - you will be required to work additional hours from time to time (eg around board and market-driven events).
