We are currently seeking experienced Executive Assistants to provide dedicated support within various different departments within Macquarie. You will be responsible for providing executive assistance to a number of the senior leaders and ad hoc support for the broader teams.
Key responsibilities will include:
Extensive diary management including booking meetings, managing conflicts and providing/following up on all required paperwork prior to both internal and external meetings
Frequent domestic and offshore travel arrangements including coordination of travel approvals, visas and preparation of itineraries;
Coordinate meetings and calls (internal and external), book conference rooms, arrange catering;
Managing and processing expense reimbursements, American Express monthly statements and monthly invoices;
Assisting with PowerPoint presentations, formatting, creating slides;
liaising with other groups and offices within Macquarie; and
ad hoc projects.
To be successful, you will possess:
5+ years in a similar role;
Strong time management and prioritisation skills;
Experience managing emails, tasks and deadlines for Senior Executives;
Strong Microsoft Office skills and the ability to adapt to new systems and technologies;
Ability to maintain confidence and sensitive matters professionally;
Effective communication skills and ability to escalate and take action where necessary; and the
Ability to work with multiple stakeholders and manage all expectations.
Experience within Financial Services or large corporate experience will be well-regarded
