As part of the strategic research initiative, Fast Forward Clinical Trials (FFCT) is engaging the entire UMHS in creating a new model to improve clinical care, value, and health outcomes by successfully executing a diverse portfolio of high-quality clinical trials. This new model entails an organizational structure of local clinical trial support units (CTSUs), central infrastructure, and governance oversight. The CTSUs are trans-departmental and thematically aligned based on research foci. CTSUs are the local groups that provide comprehensive pre- and post-award support to study teams, offering high-quality, efficient service in support of a mix of clinical trials. These support units will provide a professional environment of expert personnel accessible to all investigators, especially early-career faculty. The Medical School Office of Research and the Michigan Institute for Clinical and Health Research (MICHR) are responsible for the central services, providing enterprise-wide standards, policies, and common infrastructure that can be leveraged by the support units and study teams. The entire system is governed by the Medical School Office of Research in partnership with the Clinical Trials Subcommittee of the Research Board of Directors.
The Contracts and Grants Specialist will handle all post-award research administration activities for the Heart Vessel Blood (HVB) CTSU and also cross train on the pre-award administration activities. This position will assist with the development of CTSU specific workflows and make recommendations for streamlining the pre and post award activities to accommodate the future volume of trials. Partnering with the HVB pre-award administration team as well as other CTSU personnel to share information and work toward common workflows will be key in developing a solid foundation of support for study teams.
Review and interpret terms and conditions of award documents as needed. Compose award announcement emails to the project team and applicable administrative staff, identifying information key to each group. Coordinate workflows with the pre-award HVB team, Shared Services Center, and study team when new funding is received. Arrange start-up planning meetings when necessary.
Manage all post-award activities ensuring all Medical School, University and sponsor policies and guidelines are followed. Specific duties include reconciliation of project grants, investigation and resolution of problems, identifying and resolving clinical research billing errors, invoicing the sponsor, ensuring revenue collection, processing patient reimbursement, preparation of budget projections.
In partnership with the Finance Team Lead, manage the unit's clinical trials financial portfolio. Specific duties include collecting and maintaining data for metrics, analyzing, forecasting, and reporting (i.e. monthly, annually) the HVB CTSU’s comprehensive financial portfolio. This position is expected to communicate key information on the status of projects in relation to budget assumptions, timing of payments, end date of agreements, associated effort, etc. The ability to independently identify and bring forward issues (i.e. study shortfalls, sponsor payment issues, etc.) to the Finance Team Lead early in the post-award process will be key.
Cross train on the pre-award process to become familiar with the activation of clinical trials and compliance with all Medical School, University, and sponsor policies and guidelines. Responsibilities for pre-award include conducting feasibility reviews, routing non-disclosure agreements, clinical trial routing forms and PAFs, and creating and negotiating budgets. This requires close collaboration with faculty, study coordinators, departmental personnel, central administration, and other study team members.
Participate in the launch of the CTSU by developing unit specific workflows for the finance team. Collaborate with the other HVB pre-award team and other CTSU’s to identify opportunities for standardized workflows and process efficiencies.

- Bachelor’s degree in a related field or equivalent combination of education, certification, and experience
- Minimum 2-3 years of progressively responsible experience with post-award administration of grants and contracts
- Ability to gather, interpret, and analyze resource data in order to make recommendations
- Ability to set priorities, handle multiple assignments and deadlines with minimal supervision, while operating in a flexible and professional manner, with exceptional attention to detail
- High degree of initiative and resourcefulness
- Solid understanding of clinical research finances, industry sponsor contracts/budgets, and reconciliation and reporting requirements
- Excellent computer skills including proficiency in finance related programs such as Excel
- A strong financial aptitude with experience and expertise with University financial reporting systems is strongly desired, including eRconciliation, MPathways, MBECT, M-Reports, and the Data Warehouse
- Experience in pre and post award grants administration is strongly preferred
- Knowledge of UM policies and procedures
