The division of Instructional Support (IS) part of Health Sciences Academic Services and Facilities (HSAS&F), currently has an outstanding opportunity for a Program Support Supervisor 1. This individual is responsible for the event and space scheduling services in support of the education and research missions of UW. This position will contribute to the Instructional Support mission by developing an environment of continuous improvement, pursuing innovation, and delivering world class customer service.
Instructional support provides frontline customer service to the Health Sciences Community, which includes scheduling, classroom & technology and laboratory support services. Our mission is to advance the UW mission by delivering proactive services which cultivate a teaching and learning environment within the Health Sciences Community. Our team is driven by customer needs, informed through feedback, and dedicated to fostering innovation.
Reporting to the Manager of Instructional Support the Program Support Supervisor (PSS) provides program- level support for the utilization of the Health Sciences, Feoge, UW Medical Center, and the South Campus Center classrooms, conference rooms, and special event spaces. The PSS is primarily accountable for the management of course, event, and research space reservations working closely with the internal and external teams to ensure that building users and occupant's needs are met. This position supervises the day-to-day operations of the room reservations, event services, course scheduling, as well as guides and implements changes and updates to service policies and procedures. The PSS hires, trains and directs classified and student staff, using excellent people management skills and working collaboratively towards common goals with an innovative approach. As part of a multi-functional team the PSS will have a thorough understanding of all service areas within Instructional Support and serves as a backup for common classroom technology and laboratory functions. Additionally, this position must be an engaged part of the HSAS&F leadership team through participation in department wide initiatives and teams.
A successful candidate will demonstrate a commitment to innovation and world class customer service while maintaining compliance with established policies and procedures. They will independently and proactively perform work assignments, and devise methods and processes to meet new and unique work requirements and problems. Also, they must have experience working in the following areas: Identifying course, event, and space needs through client engagement with a focus on learning space scheduling and utilization; Developing, updating, and changing service policies and procedures to maintain compliance and meet customer's changing needs; Supervising, leading and mentoring of staff by developing training, presentations and team building activities; Improving the organization through the application of project management techniques, exploration of new technologies, and pursuit of self-development.
| High school graduation or equivalent AND three years of applicable experience to include public contact , customer service, course, event and space scheduling or equivalent. |
Proficiency with various computer systems including databases, room scheduling, work order processing
Demonstrated skill at communicating with diverse set of students, faculty and the public
Excellent communication (oral and written) and organizational skills.

Applied knowledge of learning technologies including but not limited to Adobe Creative Cloud, Mediasite and Panopto Lecture Capture, Canvas Learning Management System, OPAL Curriculum Management System,
Helpdesk ticketing system, WordPress Content Management System
Skill in training and leading employees
Familiarity with Information Technology Infrastructure Library (ITIL) change management and process improvement
Enthusiasm and proficiency with various computer software and systems including databases, scheduling, ticketing, and inventory
Experience using R25 and related scheduling software
Experience working with Student Database (SDB ) or other student information systems
Experience working with SharePoint, Google Docs, or other collaboration software, such as Slack
Experience working in a world class customer service environment
Demonstrated skill at communicating with diverse set of students, staff, faculty, and the public
