The Student Services Specialist is responsible for managing and maintaining the day-to-day operation of the undergraduate and graduate programs in Studio Art and Art History in the Department of Art. This position is responsible for registration and assisting all students with registration. The Student Services Specialist manages student programs including supervision of work-study students for the John and June Allcott Gallery. This person serves as the most visible and accessible representative of the department in matters concerning prospective and enrolled undergraduate and graduate students. Public contact is a major function of the position, requiring knowledge of department and University policies and procedures along with excellent communication and interpersonal skills. This position serves as Scheduling Officer for the department in ConnectCarolina and serves as the liaison between the department and Classroom Scheduling in the Office of the University Registrar. The position also provides administrative support to the department's Directors of Graduate Studies and Directors of Undergraduate Studies regarding policies, student needs, and schedules. This individual will serve as a liaison to Academic Advising for resolution of student problems and provides information regarding departmental policies. Responsibilities also include managing curriculum revision by updating new curriculum course numbers/information using course menus, policies, and procedures with Chair. Maintains department's website in consultation with the Department Chair and Publicity Committee and assigned faculty. Liaison to Graduate School for admissions and fellowships/funding information on policies and procedures for incoming students and enrolled students. Public contact receiving inquiries both in person, on the phone and via email in answering questions regarding both the undergraduate and graduate programs in Studio Art and Art History. Also, conducts tours of the facilities upon request. This position will maintain publications (internal and external) containing departmental academic information, manage commencement activities, serve as the first point of contact for academic programs, and other administration uses within the department. The Student Services Specialist reports to the Department Chair and the Business Officer.
Education and Experience:
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
This position requires the demonstrated ability to follow guidelines, regulations and policies and the ability to interpret and explain policies and procedures in a clear and consistent manner to diverse audiences. Excellent verbal and written communication skills are essential. This role requires a high level of detail and organization, professionalism and discretion, excellent customer service skills, and an ability to adapt easily, follow through, complete tasks and resolve issues. This person must have excellent computer skills with advanced knowledge of Microsoft Office products. The selected candidate must possess the ability to work independently and work as a member of a team. The position also requires independent decision-making in managing the departmental graduate admissions process, Honors Program and student advising on required courses for major and minor degree options. Selected candidate must have the ability to interpret and apply both University and departmental policies and guidelines to ensure students complete their degree in a timely manner.
Experience with the University's ConnectCarolina system is desired. Experience with Graduate School software is also highly preferred. Prior experience in student services at a college or university or experience working with students preferred.
